We take a comprehensive look at our client's energy usage to identify savings and renewable solution opportunities. We manage the entire process from concept through engineering through installation and provide ongoing O&M support.
The Project and Business Development Coordinatorwill provideadministrative and project support to ensure that all operations are running smoothly. The successful candidate is a team player who is confident, adaptable, and responsive.
This role will be primarily on-site in our downtown Indianapolis office.
What you'll do:
- Perform administrative and office coordination tasks such as preparing presentations, proposals, and meeting documentation, ordering project-related office supplies, managing travel, creating agendas, and maintainingaccurate records.
- Attend and record project meetings and follow-up with appropriate departmentswith up-to-date, project related documentation and requirements.
- Assist with compiling project closeout documentation including data sheets, warranty information, etc. in a timely manner.
- Assist with monitoring, tracking, and obtaining ongoing subcontractor executions, pay applications, proper supporting documentation, and completion certifications.
- Provide support with filing and maintaining renewals of annual software licenses, memberships, state contractor business applications and annual reports.
- Build and maintain positive relationships with existing and prospective clients (via email, phone, and in-person correspondence) to gain intelligence for leads.
- Monitor news/publications for business development purposes.
- Assist with tracking opportunities through business development pipeline, and update business development tracking applications (CRM) and reports.
- Assist with preparation of award nominations, grant opportunities or other incentive documentation applicable to existing or prospective clients.
- Assist with new client vetting including checking for available state/federal incentives, utility bill analysis, etc.
- Other duties as assigned.

Required skills, knowledge, and experience:
- High school diploma or equivalent is required, Associate's Degree preferred.
- 3+ years of professional experience in an office setting.
- 2+ years of experience supporting sales and operations.
- Strong follow-through, attention to detail, and time management skills.
- Confident, clear, and timely written and verbal communication skills.
- Resilience to change, comfort with ambiguity and changing priorities.
- Demonstrated experience influencing and collaborating cross-functionally.
- An inquisitive mindset and comfort with business operations.
- Familiarity with office management procedures and basic project and accounting principles.
- Excellent knowledge of MS Office (including Teams), office management software (Acumatica, etc.), and CRM software, sales tools, and other relevant technology.
Physical Demands:
- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry parcels, packages and other items, to walk short distances, and drive a vehicle to deliver and pick up materials.
- Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- Must be able to maintain a professional appearance.
- May be required to satisfy requirements imposed by specific projects, customers, or company needs.
- Must be able to use hand tools, laptop, email, smartphone, and tablet.
- May be required to travel occasionally.
