Spectra Tech, LLC, is currently looking for a Project Coordinator to work on a government project at Aberdeen Proving Ground in Aberdeen, Maryland. This position is full-time and onsite at Aberdeen Proving Ground (APG).
Responsibilities
- Establishes and maintains procedures for tracking necessary information to respond to taskers and information inquiries.
- Prepares responses to taskers and information inquiries from senior level management.
- Collects, analyzes, and summarizes relevant technical and programmatic information from a variety of sources in support of ARL's mission.
- Coordinates and organizes meetings, workshops, tours, or other special events - to include setting up displays pertaining to laboratories and experimental facilities.
- Monitors progress of technical programs, to include topics such as maintaining and modifying program schedules; tracking milestones and deliverables; analyzing staffing requirements; tracking, analyzing, and projecting budget data, preparing modeling and simulation and/or systems engineering plans.
- Develops and recommends procedures for tracking administrative requirements and develop and recommend a system to continually improve efficiency and performance in these areas.
- Analyzes technical and non-technical aspects of a given business unit and suggest metrics for tracking.
- Tracks, reviews, and analyzes branch, division, or other work unit performance versus established metrics.
- Tracks and monitors business unit or program requirements in the areas of safety, security, environment, or other administrative areas.
- Creates, customizes, prepares, and maintains presentations, briefing charts, and technical and nontechnical documents using computer software (e.g., Microsoft Office Suite), websites, graphical elements, scanned photos, and other presentation matter. Responsible for preparing documentation from draft to final form.
- Supports meetings and special events for the organization (e.g., Days of Remembrance, Organizational Day, Bring-Your-Child-to-Work Day), to include coordinating attendance, amenities and accommodations at the event. Plans and schedules conferences, tours, working lunches, symposiums and meetings. Schedules room for meetings, coordinates lunch requests, notifies attendees, and coordinates Video Teleconference.
- Handles conference requirements and any other special requirements for meeting/conference/project (reserves parking spaces, directional signs, registration desk, name plates, table tents, etc.), and follow through on activities to accomplish the ARL mission.
- Establishes and maintains office databases such as calendars to include scheduling meetings/conferences and office information such as phone numbers, locations, and addresses.
- Operates various office equipment.
- Provides on-the-job training to other contractor personnel.
- Participates in projects from inception to completion; provide the status of projects associated with ARL building and facility.
- Supports with multiple renovation and construction-work projects being performed.
- Completes weekly project status reports and provides to the Contract Program Manager.
Required Qualifications
- U.S. Citizenship is required per contract to obtain and maintain a U.S. Department of Defense Secret Clearance
- Bachelor's degree and one (1) year specialized experience; or three (3) years of specialized experience.
- Experience in using Microsoft Office Suite, specifically Power Point, Excel, Word, Access.
- Knowledge of and experience with proper English grammar, spelling, capitalization, and punctuation.
- Ability to learn Government acronyms and abbreviations.
- Experience in conducting tours, visits arrangements, and organization-wide events.
- Capable of learning and utilizing current business management tools and databases such as eARL; GFEBS; Automated, Time, Attendance and Production System (ATAAPS); Defense Travel System (DTS) or any successor systems.
- Ability to effectively communicate verbally and in writing with internal and external organizations.
- Ability to interpret and implement SOPs and IOPs.
- Ability to provide on-the-job training to other Contractors
