We are looking for a Project Coordinator to join our team.
Job Summary:
The Project Coordinator will manage and oversee the coordination of tasks related to technology projects, device deployments, and asset lifecycle management for the client. This role will entail managing and maintaining timely device distributions, mailbox management/communication, and oversight of the technical project team schedules and activities. The project coordinator will also focus on continual service improvement and maintaining process documentation to enhance operational efficiency.
Key Responsibilities:
- Project Support & Coordination:
- Managing device deployment projects, ensuring timely and efficient distribution of devices to client's students.
- Oversee reimaging projects for teacher and administrator devices, coordinating with technicians to ensure project completion.
- Track and manage inventory distribution through dedicated resources. There will be a JW van for the project team to leverage in these activities.
- Monitor the contingency priority system, ensuring adherence to district-defined priorities (e.g., new enrollments, break/fix requests, lost/stolen devices).
- Lead the coordination and management of DRLP-related device recovery efforts.
- Team Management:
- Direct and oversee the work of project technicians involved in device deployments, ensuring alignment with project goals.
- Provide mentorship, guidance, and performance management to ensure high levels of service delivery.
- Communication:
- Lead communication efforts with client staff and principals, providing proactive updates on project progress, device availability, and request statuses.
- Develop and utilize standardized communication templates for consistent messaging across all levels.
- Coordinate with other departments and vendors to ensure seamless project execution.
- Process Documentation & Continual Improvement:
- Maintain detailed documentation of project workflows, processes, and improvement plans.
- Proactively identify areas for improvement in service delivery and device management, recommending solutions to streamline processes.
- Work closely with leadership to evaluate and implement AI-driven inventory management tools and other technologies to enhance operational efficiency.
- Inventory & Reporting:
- Provide real-time insights into inventory through data tracking and reporting mechanisms.
- Collaborate with project management team to ensure accurate and timely reporting on device distribution, pickup, and reimaging.
Qualifications:
- 2+ years of project coordination experience, preferably in IT or technology-related fields. (Or equivalent degree/certifications.)
- Proven experience managing cross-functional teams.
- Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent written and verbal communication skills.
- Experience with process development and documentation.
