Job Description
Summary:
Responsible for providing administrative support for the Project Management team. While working with one or more project managers, a Project Coordinator will perform tasks essential to the coordination of our construction projects to maximize the Project Management teams' efficiency and effectiveness. A PC will communicate with the VP of Project Management on a regular basis discussing all activities, needs, and concerns.
Essential Functions:
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions· Produce and maintain equipment/material procurement schedules
· Update schedules and review with project manager on a weekly basis
· Distribute pertinent job information to field foreman
· Reviews shop drawings prior to submittal. Address questions/concerns with Project Manager
· Compile duct construction standard in collaboration with Production Manager and Project Manger
· Complete MSDS books that are job specific if required
· Set up the detailed drawing log and track through coordination until as-built drawings are completed and submitted as needed based on project
· Notify Project Manager, Field Foreman, and Detailer upon receipt of approved shop drawings noting all comments
· Assist in job close-out with Project Manager and Contract Administrator by coordinating warranty letters, operation and maintenance manuals, and any other final close-out documentation needed.
· Assist Project Manager with ensuring all pre-planning is complete
· Ensure project documentation is completed and logs maintained: daily job logs, RFI's, T&M Management, meeting minutes, CCD's, ASI's, and Bulletins, etc.
· Produce and maintain Contract Review Matrix and the Manpower Chart
· Assist the Project Manager in the development of the material handling plan and update as necessary. Distributes this plan to entire team.
· Works closely with warehouse staff regarding shipment and delivery information
· Set up tracking and productivity graphs and process the graphs as scheduled
· Apply for and secure permits on assigned projects
· Other duties and responsibilities as assigned
Requirements:
· Associates Degree and/or 5+ years of relevant experience required
· Proficiency in M365 required
· 3+ years in customer service or administrative support required
· Prior experience in construction industry preferred, HVAC is a plus
· Timberline and SAGE experience preferred
