We are looking for a project coordinator with exemplary customer service skills to work with our Leadership Network department. LN is AASA’s professional development arm supporting a pipeline of diverse superintendents and educational leaders as they advance their knowledge, skills and disposition for highly effective leadership.
The incumbent of this position supports the department’s mission while providing frontline customer service to our members. In addition, this coordinator is responsible for essential administrative functions for Leadership Network activities.
AASA is located in Alexandria, Va., just outside our nation's capital. We are conveniently located just blocks from the King Street Metro station, but we also provide free parking for our staff.
This individual will be required to work in our office based on the nature of the position. Occasional remote work may be allowed.

QUALIFICATIONS:
Education: Bachelor's degree or equivalent training and experience expected.
Experience: Demonstrated success in project management and administrative services. Minimum two years of professional experience in a busy work environment with tight deadlines. Graphic design and/or familiarity with social media tools, such as Facebook, Twitter, Snapchat and LinkedIn a plus.

Regular use of laptop computers is common. Travel may be required and longer than normal hours of work at meetings and conferences may be expected.

Provides High-Level Customer Service for In-Person Professional Development Events and Meetings
- Coordinates meeting logistics by ensuring the room is fully prepared for scheduled events, including setting up name badges, table tents, beverages, and food.
- Functions as the lead technology assistant, collaborating with the program lead to address any technical needs.
- Provides ongoing customer service support throughout the session, ensuring a smooth and professional experience for all participants.
Coordinates and Completes Project Tasks as Defined and Assigned in Individual Project Plans
- Liaises with the Leadership Network staff, and other departments as needed, on new program setup, web updates, application edits and overall recruitment needs.
Provides Administrative Support for Department and Organization as Required
- Performs administrative duties including processing correspondence, booking travel, reconciling expenses, and preparing reports and presentations.
- Provides superior customer service by responding to all inquiries in a timely, helpful, & courteous manner.
- Communicates with program participants by disseminating meeting details and calendar invitations, posting meeting/event messages, and reviewing and responding to participant inquiries.
- Responds to general inquiries via email, regular mail or telephone.
- Filters inquiries that require resolution by other departments to the appropriate individuals.
- Provides calendar management using advanced appointment settings as needed.
- Monitors AASA LN webpages ensuring content is up to date (by sending new information to our webmasters) and reflects current efforts and priorities as needed.
- Prepares invoices, travel expense vouchers, and other travel-related reimbursements for directors, consultants, mentors and participants as needed.
Serves as Backup to the Primary Receptionist
- Welcomes visitors to the building.
- Responds to incoming telephone calls and AASA member/customer inquiries.
- Keeps current on AASA programs, member benefits and dues structure.
- Review and implement tasks and services as outlined in the front desk procedures handbook.
