We are seeking a dedicated and organized Project Coordinator to join our growing team full-time. As a small-medium-sized business in the energy efficiency space, we proudly partner with major retailers, restaurants, and grocery chains worldwide to deliver high-quality, energy-efficient building solutions. This role is within the Melink Intelli-Hood business unit and reports directly to the Manager of Intelli-Hood Field Services. The Project Coordinator’s primary responsibility is to support our Associate Project Managers in the planning, execution, and successful completion of projects. The ideal candidate will bring a strong foundation in project coordination to support our continued growth and drive our company forward.

The Project Coordinator’s primary responsibility is to support our Associate Project Managers in the planning, execution, and successful completion of projects. The ideal candidate will bring a strong foundation in project coordination to support our continued growth and drive our company forward.
Project Coordinator Essential Duties & Responsibilities:
- Assist the Project Management Team in all phases of project execution, ensuring timely and successful completion.
- Organize and support “pre-sale” survey activities to help prepare project groundwork.
- Manage customer order entry to ensure accurate and timely processing.
- Collect, organize, and maintain essential subcontractor documentation, including:
- Master Provider Agreements
- Certificates of Insurance
- Form W-9
- Gather and submit customer-required safety and security clearance documentation.
- Schedule technicians independently and in collaboration with Associate Project Managers, optimizing for efficiency and project needs.
- Assemble project closeout packages, ensuring all necessary information is collected and organized.
- Facilitate the submission of closeout packages to customers.
- Attend client and contractor meetings to address and resolve project-related issues.
- Prepare and deliver progress reports, proposals, and requirements documentation as required.
- Foster and maintain strong subcontractor relationships to support long-term collaboration and partnerships.
Project Coordinator Qualifications:
- Associate degree or one to two years related experience and/or training; or equivalent combination of education and experience.
- Ability to write reports, business correspondence, and process documents.
- Ability to effectively present information clearly and confidently to groups including clients, internal teams, and customers.
- Ability to solve practical problems and deal with a variety of variables.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Must have superior customer service skills (i.e., excellent written and verbal communication skills, high emotional intelligence, positive attitude, and a service leadership philosophy).
- Proven problem-solving record desired.
- Able to demonstrate a high level of integrity, and a penchant for high quality.
- Must possess a strong work ethic and a high level of self-accountability.
- Must be proficient in Microsoft Office Suite
- Experience with SAP is a plus.
