Position Overview: We are seeking a highly organized and motivated Project Coordinator to join our team in Fort Wayne, IN. The ideal candidate will be responsible for coordinating various aspects of project management, ensuring that all projects are completed on time, within budget, and to the highest quality standards. This role involves significant travel, with 30-50% of the time spent on the road, and all travel expenses are fully covered by the company.
Key Responsibilities:
- Assist in the planning, execution, and monitoring of projects.
- Coordinate project activities and ensure all project phases are documented appropriately.
- Facilitate communication between team members, stakeholders, and clients.
- Update and publish internal project opens issues and timelines as needed with all Engineers/ Program managers responsible for Job.
- Update and publish customer project opens issues and timelines as designated in the Quotation with all Engineers/Program Managers for Job
- Assist with Coordination of task list or punch lists with all Engineers/Program Managers as needed.
- Help to ensure all deadlines are met
- Make sure all PDF quotations that are sent to customer are updated to the network and in the appropriate file
- Keep accurate records of all word quotations, excel worksheets, RFQ’s, and all proposals for job in job file
- Attend weekly project meetings/ take notes and summarize notes in Customer Job or Quote file
- Issue quotation numbers and maintain Quote List with full detail.
- Assist with Quotation Development as needed with Program Manager, obtaining quotes, bids, and pricing
- Assist with RFQ’s for Project Managers
- Assist with getting PR’s written and/or approved for Project Managers as needed
Qualifications:
- 2+ years of experience in project coordination or a similar role.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in project management software and Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Willingness to travel extensively (30-50% travel) and adapt to changing schedules.
- Strong problem-solving skills and attention to detail.
