Job Summary:
Fire Equipment Inc. is looking for an organized and detail-oriented Project Coordinator to support our Fire Alarm (FA) and Sprinkler Project Managers (PMs). This role will primarily focus on assisting the PMs in managing technician schedules, creating work orders, and coordinating appointments with customers and contractors. The ideal candidate will also have the ability to take on additional responsibilities, including work order management, and involvement in the CP permitting process.

Job Summary:
Fire Equipment Inc. is looking for an organized and detail-oriented Project Coordinator to support our Fire Alarm (FA) and Sprinkler Project Managers (PMs). This role will primarily focus on assisting the PMs in managing technician schedules, creating work orders, and coordinating appointments with customers and contractors. The ideal candidate will also have the ability to take on additional responsibilities, including work order management, and involvement in the CP permitting process.
Key Responsibilities:
- Scheduling and Work Orders:
- Work closely with Fire Alarm and Sprinkler PMs to populate and manage technician schedules.
- Create and manage work orders, ensuring all necessary resources, materials, and information are prepared for technicians to complete their tasks.
- Coordinate appointments with customers, contractors, and other stakeholders to ensure smooth project execution.
- Work Order Management:
- Handle the approval and closing of work orders, ensuring that all details are accurate and up-to-date.
- Work with the PMs to resolve any issues or discrepancies with work orders and project requirements.
- Permitting and Compliance:
- Play a role in the CP permitting process, coordinating with the necessary authorities and ensuring all paperwork is completed and submitted on time.
- Work with the engineering department to prepare and manage close-out documents for completed projects.
- Project Closeout:
- Assist PMs with closing and fully scoping CPs in SF (project management software).
- Ensure that all documentation, permits, and compliance requirements are fulfilled during project closeout.
- Additional Responsibilities:
- Provide general support to PMs by assisting with day-to-day tasks as needed.
- Take on additional responsibilities based on skill set and capacity, such as organizing materials, tracking project progress, and assisting with other administrative tasks.
- Continuously improve internal processes to streamline project coordination.
- Previous experience in a project coordination or administrative support role, preferably within the construction, fire protection, or related industry.
- Strong organizational and multitasking skills, with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills, with the ability to coordinate effectively between teams, clients, and vendors.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.
- Ability to work independently, demonstrate initiative, and contribute as a proactive team member.
- Familiarity with fire protection systems, permitting, and compliance processes (preferred but not required).
- Highly organized and detail-oriented with a strong sense of accountability.
- Self-motivated and able to work in a fast-paced, dynamic environment.
- Ability to adapt and take on additional tasks based on project needs and priorities.
