- Position Summary
- Reporting to Director, Properties and Construction, will have responsibilities for supporting and overseeing the departments day to day activities to include: processing invoices and coordinating payment with A/P; assigning purchase orders to all project related tasks and following through to ensure payment; processing capital requests; meeting as assigned with system staff to assist in determining budget for small department level projects; coordinating third party vendors such as furniture, electricians, plumbers and other vendors to obtain multiple quotes for specific projects while remaining within budget; coordinating finish boards to ensure currency and applicability; coordinating as assigned with entities on system construction projects; managing department level moves and/or replacing furniture. Supports property management by maintaining accurate and complete list of all SJ/C properties. Independent, motivated employee with superb communication skills, organization, planning and execution, able to grow with position and role. Able to travel around system as required to full-fill assignments. Coordinates with other staff as necessary to complete assignments. Completes other duties as assigned by the Director.

- Experience
- 5-7 Years assisting with Property Management, Project Management, Purchasing, Capital and Operating budgets - Required
- Demonstrates a high caliber of office skills and assume responsibility without direct supervision. Displays initiative and exercises good judgement making decisions within scope of the position. Must project an image or professionalism at all times. Functions well under pressure and workload. Maintains mandatory confidentiality of all matters discussed within the department.

- Receives and ensures proper coding on all invoices, both routine and capital, for timely submittals and payments by A/P. Issues as requested/necessary purchase orders to accomplish work order tasks as assigned. Follows up as appropriate to ensure contractor and vendors are receiving payments appropriately.
- Tracks and maintains all finish standards and boards, flooring, furniture, paint, wall coverings, etc., that will drive the standardization and selections system wide. Coordinates with Director, Project Manager and interior designer on project finishes. Maintains project finishes portfolio for future reference. Coordinates with interior designers, end-users and third-party furniture vendors on orders, delivery and set-up. Facilitates the "finish schedule" for construction projects and work with architects, contractors and sub-contractors to review pricing and appropriate discounts as required.
- Coordinates with Director and Construction Project Manager on construction projects, assist in tracking all capital, issue capital PO’s, assist in maintaining construction budget sheets. Ability to visit job sites for coordination and execution on assigned tasks.
- Processes requisitions and purchase orders, receives incoming merchandise and mail and delivery tickets. Ensures required equipment quotes and documentation are processed through purchasing, monitor office supply stock and purchase departments needs as required.
