Job Summary
The responsibility of the Project Manager is to manage the planning, procurement, and execution of a project. They will manage the business operations of the District Office to enhance productivity and profitability. They anticipate the needs of the office and assist with the planning of its development. The Project Manager will also act as an executive assistant to the Managing Director and play an integral role of the office's success.Key Responsibilities
Administrative
- Screen incoming calls
- Prepare correspondence
- Calendar management of the leadership team and MD
- Make travel arrangements
- Coordinate and prepare for weekly staff meetings
- Track meetings and attendance
- Schedule monthly financial representative meetings with the MD
- Coordinate meetings and attendance at Company Annual and Regional Meetings
- Collaborate with the CDO and Director of Development to plan and coordinate development meetings within both our district and network (BORs, Client Builders, etc.)
- Create long and short-term plans, including setting targets for milestones and adhering to deadlines
- Delegating tasks on a project to the employees best positioned to complete them
- Serving as a point of contact for teams when multiple units are assigned to the same project to ensure team actions remain in synergy
- Oversee operational procedures for all aspects of the MD's business including coordinating communication and workflow between representative and staff
- Maintain office and employee standards
- Maintain adequate coverage for the office through cross-training
- Maintain all necessary employee records
- Maintain job descriptions for each staff position
- Maintain employee handbook
- Track representative forum/premium/lives goals
- Work in partnership with the Managing Director to plan for office development, and recommend changes in staffing, equipment, office space or layout, financial representative training and support necessitated by development plans
- Inspect the office space and order necessary repairs or recommend replacement/improvement when necessary
- Establish, implement, and maintain adequate security and safety procedures
- Monitor reports and take action (persistency, FMI Online, etc.)
- Coordinate all communications between staff and representatives in the District Office
- Inform staff and representatives of educational opportunities
- Run various CRM reports for CDO, including monthly Client Builder reports, activity reports, etc.
Job Qualifications
- Strong computer and keyboarding skills and Microsoft Office experience
- Excellent interpersonal skills
