About the Job
Job Summary
A Project Manager, manages all scopes of the job from commencement to completion. The Project Managers report to the Director of Project Management.
- Project Estimate/Acquisition Stage
- Informal Project Kick-Off Meeting – Turn over from Estimating to Project Management (Immediately)
- Immediately File Notice of Intent with EPD or obtain copy.
- Perform Project Buy-Out Spreadsheet & send to AP, Coordinate with Estimator
- Generate Project submittals, Send to Owner for Approval
- Write Subcontracts, Send to Senior PM for review. Submit to Owner after review.
- Write Purchase Orders to All Suppliers, Send to Senior PM for review, Submit to Owner after review.
- Generate Project Schedule in Microsoft Project.
- Review Project with Controller & Project Accountant – Project Duration, Scope, Heavy Job Reporting Format, Davis-Bacon Wages, Per Diem needs, Billing Cycle, Project Budget, Profit Goals & Project Risks – Can be handled during turn over meeting.
- Project Initiation Stage
- Set-Up Preconstruction meeting with Owner & Municipality and Set-Up Emergency Action Plan w/ Safety Director,
- Visit the Site before Crew Mobilization.
- Give Project information to Safety Director. Follow-Up with Project Safety Plan for binder.
- Speak with Operations regarding Project needs.
- Create Job binder for General Superintendent & Superintendent & Print Plans (Follow Standard Job binder format)
- Project Hand-Off meeting between Project Manager & Field Management Team, follow Project Turn-Over Agenda.
- Project Production Stage (Daily/Weekly/Monthly)
- Daily Review – Superintendents Daily Reports (Approve Timecards, Follow Timecards Approval Process Format) Advise General Superintendents about problems.
- Daily Conversation with General Superintendent
- Approve Project Sub and Material Bills.
- Review Project Schedule, Goals, Duration, Scope & Heavy Job Reporting with General Superintendent.
- Review & Collect outstanding A/R
- Reconcile Heavy Job Quantities with input from General Superintendent.
- Circulate weekly cost reports to General Superintendents
- Generate Project Billing
- Update Project Schedule & Cost Analysis & Review with General Superintendent prior to Monthly Close-Out meeting.
- Define Scope and Quantities for Change Orders. Submit to Estimating for pricing.
- Review Project Billing status with Owner
- Perform Monthly Cost to Complete and review with CFO and Senior Mangement
- Project Close-Out Stage (Within 30/60 days of ending project)
- Provide detailed Punch-Out list and Completion Schedule with General Superintendent input.
- Provide Owner with As-Builts, O&M Manuals & GEOTECHINICAL/Material Testing Certifications.
- Bill Retainage
- Review & Collect Outstanding Retainage –
- Perform a Close-Out Project Analysis that details Cost Savings/Over-Runs, Project Success/Failures & Recommendations for similar future projects – Review with Estimators, Controller & Executive Management.
- Cancel NPDES Monitoring.
- File Notice of Termination with EPD.
- Write Thank You correspondence to customer.
- Obtain Recommendation Letter from Owner.
- Write a Detailed Project Reference & save on server.
- Ensure that all Project information is on server – This included Project Photos, As-Builts, Change Order Correspondence, Major Project Correspondence, NOI/NOT Forms & All Billings.
