Job Description Summary

The Project Manager is responsible for providing comprehensive support and coordination for several campus-wide projects, including implementation of the recommendations from the Task Force on Antisemitism and Commission on Hate recommendations, as well as Penn's lead of coordinating America250. The role involves managing communication across University departments and external partners, organizing events/exhibitions, and ensuring the successful implementation and documentation of all related activities. Additionally, the Project Manager will handle record keeping, progress tracking, meeting coordination, and supporting organizational efforts related to these efforts.





Job Description


Job Responsibilities



+ Coordinate and Manage Programming: Support and manage the planning, scheduling, and implementation of events, exhibitions, initiatives and programming related to projects and efforts stemming from the Task Force on Antisemitism and Commission on Hate recommendations, as well as Penn Libraries lead of America250 efforts.


+ Communication and Outreach: Collaborate with leaders in the Schools, University Centers, Provost Areas, Kislak Center and other University stakeholders to communicate effectively with internal and external partners, ensuring alignment and engagement across all initiatives. Work with Libraries Communications and other relevant departments to design, create, and disseminate print and digital materials that promote and support the America 250 programming.


+ Liaison Role: Serve as the primary liaison between the University and external partners for the America 250 initiative, fostering strong relationships and ensuring coordinated efforts.


+ Progress Tracking and Reporting/Documentation and Archiving: Develop and maintain systems for tracking the progress of all projects and activities related to all initiatives, including maintaining records, monitoring timelines, and ensuring milestones are met. Manage creation and maintenance of repositories, ensuring that all materials are properly documented, archived, and easily accessible for reporting and future reference.


+ Meeting Coordination: Schedule, organize, and facilitate meetings related to the America 250 programming and the Task Force/Commission implementation ensuring effective follow-up and progress tracking.


+ Administrative Support: Provide comprehensive administrative support across both initiatives, including managing schedules, coordinating logistics, and assisting with any additional duties as assigned to ensure the success of both America 250 and the Task Force/Commission projects.



Qualifications



+ Bachelor’s degree and 3 to 5 years of experience or equivalent combination of education and experience is required.


+ Excellent high-level systems thinking, technological, organizational, and interpersonal skills are required, along with attention to detail.


+ Ability to take the initiative, to track many moving parts, and to prioritize under limited supervision required.


+ Qualified candidates should have experience solving complex problems, particularly working across disparate groups of stakeholders.


+ Strong verbal and written communication skills along with a proven track record of relationship building across a wide and varied ranges of partners and stakeholders.


+ 3+ years of project management experience including organizing detailed events and/or exhibitions strongly preferred.


+ Prior experience in University related setting a plus but not required.
