WPH is currently seeking a Project Manager to assist with the development of our growing organization.
The Project Manager will report to the OPM Director or a Senior Project Manager and assist with development of long-term capital planning, development of RFP’s, design review and functional program requirements for a variety of projects across both the inpatient and outpatient healthcare settings.
Responsible for coordination of project budgets, design, procurement, and construction of projects under the Office of Project Management.
Essential Functions and Responsibilities Include the Following:
Functions
- Supports the Project Management Department in the development, coordination, and implementation of capital projects.
- Understands and adheres to the WPH Performance Standards, Policies, and Behaviors.
- Works independently to maintain the current Project field activities, reporting and other project documentation.
- Assures the delivery of quality department /clinical services in accordance with established hospital and regulatory/accreditation agency standards and practice guides.
- As required, participates in the Performance Improvement Program as defined by the organization.
- Is responsible for participation in committees, task forces and projects as appropriate.
- Assures the provision of a safe employee/patient environment.
- Maintains knowledge related to the operations of their department.
- Works collaboratively with all levels of the hospital interdisciplinary team and promotes the team concept within their department and hospital wide.
- Demonstrates positive customer service and fosters positive employee relations.
- Is supportive of hospital initiatives and projects and functions as a positive change agent.
- Promotes a positive and professional image and is a role model for peers.
Responsibilities
- Under supervision of department leadership, develops, in collaboration with end users and department leadership, projects goals and success criteria
- Establishes rapport and relationships with end users as the primary contact throughout the design and construction of each assigned project
- Creates accountability for all project team members, whether contract vendors or Hospital staff, to financial, schedule, and quality requirements
- With the assistance of supervisory leadership, develops all project budgets, schedules, and logistics plans in conjunction with the portfolio of Project Management and its responsibilities.
- Implements construction projects in compliance with the WPH process including regulatory submissions, budgets, schedules, the design process, construction process, quality control, and adherence to project specifications and drawings.
- Accurately tracks capital budgets and reports variances as required
- Manages the purchasing process including development of RFP/RFQ documents for; design services, construction services, materials purchasing and other services
- Reviews and approves all project invoices
- Maintains, project records including design drawings, submittals, as built, correspondence, regulatory submissions, financial statements, and all other project information.
- With the guidance of senior department leadership, assures compliance with Federal, State, and Local regulations and accreditation standards. Including: The Joint Commission (or other similar authority), New York State Building and Health Departments, City of White Plains Building and Public Safety Departments, United States Department of Housing and Urban Development, National Fire Protection Association standards, AIA Guidelines for the Design & Construction of Healthcare Facilities, and others as required by individual projects.
- Oversee design meetings with facility employees and design consultants.
- Coordinates with Subject Matter Experts to develop project equipment lists and requirements including Department Managers, Biomedical Engineering, Telecommunications, Information Technologies, Building Services, and Plant operations.
- Develops project budgets to be presented to department leadership, administration, and regulatory agencies, and used for overall project design parameters.
- Develops regulatory review packages. Including submissions to New York State Health Department, City of White Plains Building Department, United States Department of Housing and Urban Development, and others project depending.
- Provides direct supervision of design consultants as required by ongoing projects. Including review of design documents for compliance with end user programs, facility standards and needs, regulatory agency requirements and codes.
- Provides direct supervision of contractors working on facility grounds including scheduling, adherence to job specifications, quality of work placed, safety, and regulatory compliance.
- Work with the facility staff on facility construction projects. Including: scheduling, adherence to job specifications, quality of work placed, safety, and regulatory compliance.
- Responsible for the oversight of project completion and occupancy with emphasis on construction closeout, commissioning of mechanical equipment and systems, scheduling of equipment deliveries and startups, coordinating and working with all regulatory agencies, development and implementation of staff orientation and education and financial closet out.
- Submits all other work reports as required/requested by the Division Administrator.
- Assures completion of staff orientation, annual and ongoing competency, and education requirements.
- Attends and participates in educational programs or activities to maintain current level of knowledge or expertise to manage direct reports.
- Participates in ongoing Performance Improvement initiative as required. Submits reports as required.
- Utilizes multiple methodologies to ensure effective communication of information.
- Adheres to safety standards for employees and patients.
- Participates in committees, task forces, projects, etc. as required.
Education & Experience Requirements
- Bachelor’s Degree from an accredited institution and a minimum of 2 years of field experience, or Associate Degree and 5 years of field experience required. Bachelor of Science in Engineering, Architecture, or related field preferred.
- Experience with healthcare construction in the acute or non-acute setting required.
- Prior experience with construction projects, mechanical/electrical systems, building materials, building mechanics, or working with craftworkers is required.

- May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) data base and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS data base can also be found at the hospital switchboard, saved on a disc.
