About the Job
The Project Portfolio Analyst supports the Project Portfolio Manager by tracking, reporting, and analyzing the enterprise project portfolio of Technology Credit Union (Tech CU). The incumbent supports the facilitation of capacity planning, project review and approvals through Tech Committee; monitors and reports progress, drives actions and accountability to ensure the project portfolio is being executed per plan. The incumbent is also responsible for maintaining the workflows, system design, and data in Tech CU’s project portfolio management tool. The Project Portfolio Analyst is well-versed in agile methodologies, and possesses deep expertise in effectively implementing these methodologies across a fast-paced, dynamic organization.
Responsibilities:Essential Duties
- Supports portfolio management activities across the enterprise portfolio.
- Maintains key project information within key Project Management Office (PMO) databases, and reports on portfolio performance through weekly reports.
- Is a subject matter expert for resource, budget, and project performance databases.
- Trains project managers to independently report their project status within the system.
- Acts as liaison between project leaders and functional managers to enable resource/cost allocation to projects as needed.
- Attends monthly project actual cost review meeting between PMO, Information Technology (IT), Accounting, and Finance.
- Supports annual capacity planning and monthly portfolio budgeting cycles, with visibility/ accountability to functional and executive leadership.
- Identifies/tracks key performance indicators, and utilizes this performance data to help make better decisions across the portfolio.
- In support of Project Portfolio Manager, meets with division leaders and executive leadership to monitor and report on overall project portfolio performance.
- Completes special projects upon request.
Documentation and Communication
- Develops the documentation required for the PMO, including compliance-related documentation.
- Provides regular status reports for management on the performance of the enterprise project portfolio.
Work Schedule
- Full-time; typically 40+ hours/week
- Flexible within core business hours, M-F
- Occasional extended early morning or late evening hours, and weekends, typically with advance notice

Education:
- Bachelors’ Degree in Business, Project Management, Management Information Systems (MIS), Computer Science, or related area.
Experience:
- 5+ years’ project management experience including: project planning and initiation, project scope change control, issues management, status reporting, problem solving, and post-project assessment.
- 2+ years’ capacity panning experience.
- Strong experience in utilizing project portfolio management tools such as KeyedIN and the Agile lifecycle management tool, JIRA, to extract relevant portfolio information for the purposes of planning, financial reconciliation and resource time tracking.
- Solid experience in guiding leaders to effectively report progress of Agile initiatives which may counteract historical ways of measuring progress against time, scope, and cost.
- Solid experience driving risk identification, mitigation plans, and resolution.
- Some experience and familiarity working with IT organizations and managing resources.
- Prior work experience in financial institutions preferred.
Knowledge/Skills/Abilities:
- Strong ability to align project objectives to Tech CU’s strategic objectives as set forth by executive management.
- Demonstrated organizational and planning capabilities, and ability to handle multiple projects, tasks and priorities in a fast-paced environment.
- Demonstrated record of establishing priorities and meeting deadlines.
- Effective written and oral communication skills, presentation skills, and facilitation skills including ability to deal with all levels of internal associates, external vendors and business partners.
- Self-motivated, creative and committed to the work at hand.
- Highly proficient with Microsoft Office standard office applications.
- Familiar with Agile methodology, scrums, and process development.
- Familiar with change management and process governance.
- Knowledge of Microsoft Project and Visio preferred.
Licensing/Certifications: Certified SAFe Lean Portfolio Manager preferred.
Travel: May be required to periodically attend offsite training, meetings, or events, typically with advance notice. Overnight travel unlikely.
Typical Working Conditions: Office environment with interaction with a variety of internal and external parties. May work remotely as determined by business need and individual performance.
Equipment Used: Routinely uses standard office equipment, including computer, phone, copier and other devices.
Physical Requirements:
- Typical office environment with frequent sitting, walking and standing.
- Ability to sit ~85% of the day.
- Ability to keyboard and read computer screen for ~65% of the time during which one is seated.
- Ability to work 40 hours per week with some weeks requiring extra hours, including weekends and evenings, to complete projects (if required).

PAY AND BENEFITS
This is a grade 107 position, with a salary range from $106,000 to $154,000 with bonus potential of 10%. The anticipated range for new hires is between the low-end and midpoint of the range, depending on experience. Tech CU is a pay-for performance organization that benchmarks base pay to the 50th percentile of our market and we provide incentive-based compensation aligned with successful accomplishment of individual and corporate goals. The salary mentioned above is based on working in San Jose, CA. Salaries are based on the geographic location in which you live if working remotely.
Additionally, Tech CU provides health care benefits, life and disability insurance, 12 paid holidays and 401k with a company match; along with employee paid voluntary benefits. 7.08 Paid Time Off (PTO) hours accrue per bi-weekly paycheck (23 days per year) and will increase with length of service. Eight hours of Voluntary Time Off (VTO) are granted to full time employees annually to dedicate time to charitable organizations. Leaves of absences are available in adherence with state and federal regulations.
