Wheels Up is looking for a world-class Projects & Meetings Specialist in Chamblee, GA to join our team of dedicated and passionate professionals, fueled by the most powerful brand in private aviation, as we continue our mission of democratizing the private aviation space through cutting-edge technology and innovative product and service offerings.
The Projects & Meetings Specialist will be responsible for planning and executing external customer-facing and internal commercial meetings and support senior leadership with ad-hoc projects. This role will be involved with meetings, events, and tradeshows and will have full oversight on select meetings. Key responsibilities include a focus on customer service, organizing impactful experiential events, influencing corporate purchasers and partners to drive significant B2B revenue while supporting senior leadership.
Responsibilities:- Leads the event planning for up 300 or more attendees, which can include meetings, tradeshows, experiential activations, special events, and executive programming
- Plans, organizes and executes various events, including all event logistics, VIP support, menu planning, wayfinding, event production, transportation, housing, contract negotiations, registration, audio-visual setup, event design, and budget management
- Develops detailed program specifications, including event resumes, meeting logistics outlines, catering outlines, project timelines, and budget outlines
- Ensures all specifications are highly detailed, organized, and delivered by scheduled deadlines.
- Leads pre-planning meetings with internal project teams and external venues/DMC/vendor partners
- Drives innovation and seamlessness into current processes, focusing on developing best practices for all assignments
- Collaborates closely with appropriate business units to ensure all visions, goals, budgets, and strategies are seamlessly executed across the enterprise
- Leads efforts to develop and evolve customer experiences to maintain the highest industry standards for events
- Develops high-level event materials for executives (run-of-show documents, briefings, event analysis spreadsheets, and budgets)
- Performs other duties as assigned
Travel
- Up to 30%
- High School diploma or GED required, with strong preference for bachelor’s degree and applicable industry experience
- Minimum of 5 years of full-scale meetings planning experience required
- Exposure to Cvent stronger preferred
- Executive interface experience is a plus which includes writing high level briefs, concise email correspondence, presenting and providing event recommendations
- Strong time management skills and ability to manage concurrent tasks efficiently
- High energy, positive, professional attitude, pride in work product and passion for event management
- Excellent written and verbal communication skills
- Experienced at negotiating and building partnerships with vendors
- Demonstrates initiative and experience in project management is a must
- Impressive portfolio of previously managed events

Salary Range
The wage range for this position ($84,000 - $105,000 + 10% bonus) is determined on a variety of factors that are considered in making compensation decisions, such as differences in skill sets; experience and training; licensure and certifications; and other business and organizational needs. This wage range has not been adjusted for any applicable geographic differential associated with where the position may be filled. At Wheels Up, it is not typical for an individual to be hired at or near the top of the range for their role. Your placement within the wage range is primarily based on your qualifications and experience.
You may also be eligible to participate in a discretionary annual incentive program, whereby an award, if any, depends on various factors, including, without limitation, individual and organizational performance.
