Pay: Competitive pay based on education and/or experience plus $500 bonus after 6 months and $1,000 bonus after 1 year!
Days: Monday through Friday
Hours: 8:00 a.m. to 5:00 p.m.
Position:
Our Blood Institute is currently looking for a Facilities, Fleet, & Supplies Supervisor in the Tulsa area. This position will supervise and work to complete all aspects of Facilities, Fleet and Supplies duties in order to assure the center can operate at peak performance. This is a center support position that will support all other departments to assure success of the center operations.
Qualifications:
- High School Diploma or GED required.
- Current Oklahoma Driver's License required, CDL preferred
- Must be 21 years of age.
- Must provide driving record with zero points and no moving/traffic violations in the past 3 years.
- Three to five years' experience in management/supervision of employees
- Experience and knowledge of diverse building operations, maintenance tasks, project management, and expense management.
- Specific and direct experience in the maintenance and repair of various types of electrical and mechanical equipment.
- Must be dependable, responsible, honest, fair, and be able to perform under stress and can establish good working relationships with employees, vendors, and other contractors.
Primary Responsibilities:
- Supervise all building related maintenance programs for the Tulsa center and satellite location in Broken Arrow to include the following
- HVAC systems
- Generators
- Janitorial
- Pest Control
- Fire Security
- Ice Machines
- Other systems as assigned
- Assure contracts for all building maintenance programs are kept up to date
- Verify monthly/quarterly invoices for maintenance programs are correct before forwarding for approval and payment
- Assure all work orders for Facilities and Fleet are completed in a timely manner
- Coordinate, monitor and follow-up with the Executive Director on completion of tasks regarding contracted, non-contracted services and other services provided, including but not limited to the following: Heating and air conditioning, freezers, plumbing, elevators, trash services, thermostats, parking lots, fences, sprinkler systems, utilities, fire/security system, power generators, underground storage tanks and access control.
- Organize workflow; establish priorities for daily requirements as well as projects. Maintain a schedule related to such and provide access on a shared drive to all staff. Coordinate with all parties to ensure daily work and projects are met and reported on schedule.
- Perform routine checks of facilities, grounds and parking lots and report deficiencies to the Executive Director
- Request bids/cost proposals for OBI projects requiring installation/build up/modification, as assigned
- Assist the Executive Director with building related costs and operating budget
- Maintain facility floor plans and mechanical drawings for all facilities. Ensure all drawings/diagrams are always current and available
- Manage the Fleet related maintenance program for the Tulsa center and satellite location to assure all vehicles are kept in working order and are kept clean. Work directly with the Directors of each department to ensure this occurs.
- Track daily vehicles repairs, pending and completed.
- Maintain accurate records of usage, preventative maintenance and corrective maintenance for all vehicles.
- Make recommendations or present ideas for vendors and service providers.
- Assure vehicle maintenance and parts invoices are approved and forwarded for payment on a weekly basis
- Develop and maintain relationship with vehicle maintenance/repair vendor to assure we are a priority for them
- Develop and maintain a monthly/quarterly/annual cleaning schedule for all fleet vehicles
- Develop, train, and supervise all Facilities/Fleet /Supplies staff on OBI policies and Standard Operating Procedures (SOP) regarding personnel, safety, service calls, tools, priorities, and all requirements to perform duties. Ensure all staff training is completed as required through Master Control. Ensure training reports are accurate, complete, and up to date
- Develop an on-call schedule for department to cover and respond to emergencies (Facilities/Fleet) on a 24-hour basis (on call). Report all emergencies to the Executive Director immediately.
- Manage all Supplies processes for the Tulsa center and satellites to assure adequate inventory supplies and accurate financial accounting:
- Ordering of supplies
- Receipt of supplies
- Storage of supplies
- Receipt of t-shirts
- Storage of t-shirts
- Manage the supply "kitting" process for mobile supplies.
- Notify Executive Director of supply shortfalls and equipment problems.
- Additional duties as assigned.
