Proposal Manager - Hacker Architects

Hacker Architects is searching for an experienced Proposal Manager to join its marketing team.

Key Responsibilities:

Proposal and Pursuit Development:

1. Monitor RFP databases and market intelligence to identify potential opportunities for the firm.
2. Lead the development of proposals, ensuring compliance with RFP/RFQ requirements and deadlines.
3. Coordinate the collection and formatting of content from various departments (design, technical, leadership) to create cohesive, high-quality proposals.
4. Develop and maintain templates, processes, and standards for proposals and interviews, ensuring consistent and professional presentation.
5. Coordinate and manage the preparation process for interview teams, ensuring alignment on schedules, organizing practice sessions, and providing necessary resources and guidance to optimize performance during project interviews

6. Tailor content to meet the specific needs and preferences of the client or project, highlighting the firm’s strengths and relevant experience.

Content Creation and Editing:

1. Write, edit, and proofread proposal sections, ensuring clarity, accuracy, and alignment with the firm’s messaging and tone.
2. Incorporate input from various people into a unified narrative that emphasizes the firm’s qualifications and project approach.
3. Ensure that proposals effectively communicate the firm’s design philosophy, capabilities, and unique value propositions.

Collaboration and Communication:

1. Work closely with the business development, marketing, and technical teams to gather the necessary information, visuals, and input for proposals.
2. Liaise with subject matter experts (e.g., architects, engineers, consultants) to incorporate technical details and insights into proposals.
3. Coordinate with external partners (e.g., consultants, contractors) to include their qualifications and scope of work in joint proposals.

Proposal Strategy and Coordination:

1. Develop proposal and interview schedules and manage deadlines, ensuring timely completion and submission.
2. Maintain and update a library of proposal materials, project sheets, resumes, and other content that can be reused or customized for new opportunities.
3. Provide feedback on win/loss outcomes to improve future proposals and processes.

Design and Presentation:

1. Collaborate to produce visually appealing proposals that effectively use imagery, diagrams, and layouts.
2. Ensure that proposals adhere to the firm’s brand standards and visual guidelines.

Quality Control:

1. Review all proposals for quality, compliance with client requirements, and consistency with the firm’s branding.
2. Conduct final checks for formatting, grammar, and completeness before submission.

Qualifications:

• 5+ years of experience in proposal coordination, preferably in the architecture, engineering, or construction industries.
• Excellent management and organizational skills with an attention to detail.
• Proficient in Microsoft Office Suite (Word, PowerPoint, Excel) and Adobe Creative Suite (InDesign, Photoshop).
• Ability to work effectively under pressure and collaborate with cross-functional teams.

Preferred Skills:

• Knowledge of CRM systems and proposal management software.
• Graphic design skills or experience working closely with design teams.

• Adaptable, with the ability to work on tight deadlines in a fast-paced environment.

This role will collaborate closely with the Principal of Marketing and Business Development Leaders. Compensation will be competitive and aligned with the candidate's experience.
