Job Summary
This position provides office support for the department including greeting clients, answering/directing calls to the appropriate staff and departments, and providing information and referrals to the appropriate sources. Additional duties may include processing incoming and outgoing mail, maintaining/updating forms, brochures, and other supplies, handling cash, and preparing receipts/deposits, setting appointments, purchasing for the department, data entry into various case management systems and other administrative support.
Essential Functions and Responsibilities
The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodations to be qualified for the position. Other duties may be required and assigned.
30% Customer Support:
Greets clients to address their needs. Dispatches messages, researches information and relays it to the public. Accommodates clients in the office for appointments and other public health services.
20% Administrative Tasks:
Ensures daily office operations run smoothly, operating multi-line phone system, sending faxes, maintaining copier/printer needs, overseeing mail and deliveries, maintaining office supply inventory, and processing payments for services.
20% Other Program Support:
Provides general administrative support for all public health programs. This may include registration for conferences, organizing events for the department, assisting with scheduling of events and services for the public, providing client education and distribution of public health materials when needed at front desk, management of fleet vehicles and assisting with records management processes.
10% Purchasing:
Conducts price comparisons, obtains quotes, researches products, orders and distributes products according to county policy. Maintains a purchasing log and assists with inventory management.
20% Data Entry:
Enters client information and billing information into various information systems. Records daily vaccine refrigerator temperatures and maintaining temperature log in accordance with program policies.

Performs other duties as assigned (i.e.: pandemic response)

Minimum Education Qualifications
Education and/or Experience Requirements:
- High School Diploma required.
- One year of general office or customer service experience required.

Work Environment
This position may be required to work out of both Washington and Ozaukee County offices. This is not a remote position.
