General Summary: The Purchasing Assistant is responsible for maintaining optimal inventory levels by placing orders for stock and non-stock items to support the Engineering and Clinical Engineering departments. This role involves adhering to procurement guidelines to ensure compliance, collaborating with suppliers on outstanding purchase orders, and communicating status updates to buyers and customers. Key responsibilities include gathering essential information to input into the ERP system, such as item descriptions, vendor part numbers, vendor information, and pricing. Additionally, the specialist documents parts used by technicians on repair work orders for regulatory compliance and financial analysis. The ideal candidate will possess a strong sense of urgency, meticulous attention to detail, and a commitment to meeting customer expectations. Active participation in delivering exceptional customer service and maintaining respectful relationships with all stakeholders is essential.
Required Knowledge and Skills:
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- Ability to navigate computerized data systems, including Material Management Systems and Archibus Work Order System
Preferred Knowledge and Skills:
- General knowledge of maintenance supplies for Engineering and Biomed departments
Required Education and Experience:
- At least 2 years of customer service experience
Preferred Education and Experience:
- Experience in the healthcare industry
- Experience in purchasing, materials management, or related field
- Experience with ERP systems
- High School Diploma or GED
