Under the direction of the Supervisor of Fluoroscopy & Student Programs, is responsible for the day-to-day operation of all clerical activities at the radiology reception desks and file room. Confirms orders, documents, processes registration records, and orders the appropriate examinations in the Radiology Information System. The Supervisor of Fluoroscopy & Student Programs provides oversight and guidance for this position and is responsible to ensure the quality of services rendered is acceptable. Essential Functions: * Greets patients and gathers required personal, demographic, and insurance information from patients, guardians, ambulance transport, and physicians’ office as applicable. * Reviews physicians’ orders and contacts offices for clarification as needed. * Creates orders in the Radiology Information System (RIS) populating the work lists for the technologists performing the examinations. * Coordinates with Health Information Management (HIM) to process all requests for patient records. * Observes waiting room turnover and updates patients and their families on reason for delays and keeps the imaging sections aware of extended wait times. * Maintains supplies and inventory as necessary. * Answers telephone and ensures proper preparation for patient exams. * Cleans equipment and evaluates equipment conditions on a daily basis. Reports any malfunctioning equipment. * Meets all departmental specific competencies. * Adheres to Cabell Huntington Hospital Inc. (CHHI) policies addressing infection control, safety, and personnel guidelines. * Demonstrates knowledge of and compliance with the CHHI Code of Conduct and applicable corporate policies and procedures. * Maintains patient confidentiality and treats patients and families with dignity and respect. * Performs other related duties as assigned. Job Specific Accountabilities: * Maintains hospital confidentiality * Releases confidential information only in accordance with the confidentiality policy. * Interacts in a courteous manner with patients, physicians, and hospital staff. * Assures quality of service for patients by promoting a positive environment and by maintaining an efficient staff. * Demonstrates ability to set priorities and assist others as need arises. * Demonstrates honesty; discretion in conduct; and, confidentiality in conversation in all areas of the work environment. * Introduces by name and job title when speaking, (in person or by telephone), to patients; their families; and, others. * Addresses everyone appropriately. * Follows standards of conduct; procedures of hospital; applicable laws and regulations; and, report violations through the appropriate chain of command. * Always maintains the work area in a neat and orderly fashion. * Returns outside images/discs in a timely fashion following upload to Picture Archiving and Communication System (PACS). * Demonstrates competency of the Radiology Information System (RIS). * Routinely performs preventative maintenance procedures on all machinery in the assigned work area as well as the Radiologist’s offices. * Ensures adequate supply in Reception departments. * Understands the Radiology computer system and pulls images into the PACS system from a variety of electronic platforms. * Answers the phone in a courteous manner and communicates accurate messaged to the appropriate individuals. * Consistently coordinates work in order to remain available to receive guests and answer the telephone. * Performs duties in an independent manner with minimal direct supervision. * Verifies the identification of patients prior to registration; scheduling; and/or releasing records. * Maintains a work environment free from clutter and does not obstruct patient and/or employee ambulation. * Reports safety concerns and hazardous conditions in a timely and appropriate manner. * Follows clock in/out procedure, reporting to and leaving from work in a punctual fashion. * Demonstrates good attendance. * Willing to work unscheduled days to assist the unit in achieving adequate coverage. * Does not abuse break and/or lunch periods provided by Hospital policy. * Attends or reads and initials staff meeting minutes. * Complies with all Hospital/Departmental policies and procedures, including safety and employee health standards. * Maintains neat/clean appearance with visible photo identification badge, consistent with dress code. * When assigned to the Radiology Reception desk greets patients with courtesy and provides wayfinding. * When assigned to the Scheduling Office, schedules up to 75 patients daily with a minimum of delay. * When assigned to the Legal desk, ensures the accuracy of records for legal cases and releases in a timely manner consulting with Radiology Director; Assistant Director; and/or Risk Management for guidance. * High School diploma or equivalent is required * Junior College/Technical School is preferred * CPR certification is preferred The kind of position-related experience includes: * Strong medical terminology background; able to type 40 words per minute; strong computer experience; able to interact effectively with supervisors, physicians, and other medical staff. * Working knowledge of all diagnostic imaging examinations, exam preps, and other information pertinent to placing orders and verifying appropriateness.
