POSITION RESPONSIBILITIES
Healthpeak is seeking a Real Estate Administrator (REA) to assist in directing and coordinating on-site outpatient medical property management activities. This person will assist in effectively implementing procedures, cost controls, and policies; maintain good tenant and client/owner relations; assist the property management team in maintaining invoice records and contacting vendors/setting up accounts. Job responsibilities include but are not limited to:
Healthpeak is seeking a Real Estate Administrator (REA) to assist in directing and coordinating on-site outpatient medical property management activities. This person will assist in effectively implementing procedures, cost controls, and policies; maintain good tenant and client/owner relations; assist the property management team in maintaining invoice records and contacting vendors/setting up accounts. Job responsibilities include but are not limited to:
- Maintain an organized and efficient onsite management office
- Assist management with office phone/email, respond to inquiries and deliver messages to the appropriate contacts
- Ensure inventory of office supplies
- Maintain a directory of contacts for tenants, contractors, health system employees, and property management
- Assist management staff with time-sensitive projects
- Establish and maintain record keeping and filing systems; classify, sort, and file correspondence for tenant files and other documents
- Assist with purchase order contracts, vendor service agreements, and vendor management
- Complete contract and service agreement entry and coordinate signature execution between the vendors, legal team, and property management staff
- Monitor contract and service agreement dates and alert staff of expiring contracts
- Audit contracts and invoices for accuracy
- Monitor outside vendors for compliance with contracts and certificates of insurance
- Assist with accounting tasks
- Assist property management staff in reviewing, correcting, and coding invoices before submission to accounts receivable
- Conduct a monthly audit of the building ledger for errors in coding and alert staff
- Conduct a monthly audit of the tenant ledger for proper coding and payment. Cross-reference this with the aged delinquency report and send errors in coding or delinquency of payment to property management. Track utility stats and help prepare tenant charge-backs.
- Assist with work order performance tracking
- Work with property management to monitor work order efficiency
- Conduct audits of property equipment lists and work with building engineers and confirm preventive maintenance schedules
- Track annual testing and inspections at multiple properties
- Coordinate and oversee tenant engagement activities.
- Work with property management to develop an annual social event calendar
- Coordinate events and gifts within an established budget. Examples include social gatherings, fundraisers, book fairs, fire safety events, and blood drives.
- Develop and distribute a monthly newsletter and mid-month notice to the tenants
POSITION REQUIREMENTS
- Must have a minimum high school education. Associate’s or Bachelor’s degree preferred
- Minimum of 2 years of previous commercial property management experience
- Experience with MRI and Yardi software
- Previous experience in real estate accounting and familiarity with the monthly accounting cycle, including understanding A/P, A/R, and commercial leases
- Possess a professional demeanor and excellent interpersonal and customer service skills
- Have access to reliable transportation and maintain a valid driver's license
- Computer literate and proficient in MS Word, Excel, PowerPoint, and Outlook
- Excellent communication skills, both verbal and written
- Ability to work independently
