The Real Estate Specialist will support efforts to achieve department and organizational goals by assisting in all administrative aspects necessary for the efficient operations and management of Integrated Services for the Behavioral Health portfolio of commercial and residential properties.
Provide general administrative support with the daily operations of property and asset management by organizing and supporting workflow processes including property maintenance, compliance, lease administration, budgets, resolving questions, and concerns, and maintaining organized and updated files.
The Real Estate Specialist will maintain good relations through regular personal contact responding to department needs or concerns and proactively contacting stakeholders concerning their tenancy in the portfolio.
This position will work with Clinical Staff, Tenants, Service Technicians, Property Managers, and Vendors. and property inspections.
The pay range for this position is $55,106.05 to $64,565.51 per year based on experience, education, and abilities.
Essential Functions:
- Receive work order requests and in close collaboration with the Facilities Manager, create, update, research, and schedule work. Maintain maintenance logs via Computerized Maintenance Management System and assist in compiling monthly reports.
- Organize and maintain records for routine inspections and preventive maintenance schedules for all properties and equipment.
- Monitor asset and supply inventories to ensure adequate service levels and availability of repair parts/ maintenance items within budgeted allocations and work to minimize expenses, maximize value, and improve efficiencies.
- Organize estimates and/or proposals from contractors and prepare comparison sheets for management approval. Gathers technical information on existing systems to support the efforts of third-party vendors.
- Ensure all health and safety requirements are scheduled and completed in accordance with accreditation and government regulations. Update assessments and ensure recommended action plans are completed as assigned by management.
- Maintain property files, including but not limited to office files, tenant files, maintenance work order files, etc. Files should be organized and secured, with information held in confidence.
- Assist management with compiling invoices and assist in resolving any billing discrepancies involving third-party contractors.
- Assist with aspects of annual budget preparation and monthly financial reports, maintaining the operational budget for assigned areas of responsibility and ensuring expenses are controlled and in line with an operating budget.
- Maintain close working relationships with the real estate operations management team and all other ISBH personnel associated with activities at each property.
- Maintain open lines of communication with all contract affiliates (i.e., security service, janitorial service, reception service, etc.) and may provide coordination in the absence of management.
- Maintain lease agreements and current certificates of insurance for all tenants and vendors, including a log to track expirations.
- Report all accidents and emergencies to management. Assist in preparing written documentation in all situations with supporting photographs.
- Works independently and within a team on special, non-recurring, and ongoing projects.
- Other duties as assigned.
Minimum Requirements:
- High School Diploma or GED; Bachelor’s degree preferred.
- Five (5) years of experience in real estate operations.
- Property management financial acumen and experience reading and interpreting commercial leases, CAM reconciliations, forecasts, accruals, and other financial status reports.
- Basic knowledge of commercial real estate and/or property management best practices, including fiscal and lease management processes, procedures, and standards.
- Experience in commercial real estate and/or property management.
- 1- 3 years of lease accounting or lease coordinating experience.
- Basic knowledge of all applicable regulatory codes and standards as well as safety requirements.
- Experience in healthcare property management.
- Familiarity with Computerized Maintenance Management Systems, and proficiency with computer applications such as Excel, PowerPoint, MS Office, and MS Outlook.
- Strong verbal, written, and customer service skills.
- Experience with delegation of tasks and prioritizing an assorted workload in a timely and professional manner.
