About the Job
The mission of the Boston Public Health Commission (BPHC) is to protect, preserve, and promote the health and well-being of all Boston residents, particularly the most vulnerable. * Working to help BPHC become an antiracist organization by meeting or exceeding the standards set by the BPHC Anti-Racism Policy.
* Performs routine receptionist duties at assigned work site.
* Answers telephones; screens and directs calls; records messages;
* Screens and directs visitors according to security guidelines; acts as liaison to security staff in building;
* Acts as liaison with maintenance staff for routine maintenance issues; logs-in maintenance requests;
* Tracks and records resolution; sorts, distributes and researches faxed communications and faxes outgoing; administrative notices to off-site programs; programs speed dial fax numbers into fax machine and troubleshoots fax machine issues;
* Schedules and coordinates use of Conference Rooms after 5:00 pm using automated system; tracks issues with staff/program telephone numbers and communicates issues to Operations management; keeps reception areas neat and clean;
* Assists Operations and program staff with miscellaneous administrative tasks (labeling/stuffing envelopes);
* Assists with scheduling use of Operations Loaner Vehicle and coordinates with Operations staff to safeguard and distribute vehicle keys;
* Triages Homeless Services clients grievances forms as well as assists with referring Recovery Services grievances and miscellaneous issues;
* Work site locations are subject to change and receptionist will be cross trained to work at other Operations sites;
* Performs other duties as required.
MINIMUM REQUIREMENTS
* High School Diploma or GED required.
* Promote health equity, inclusion, and diversity within the BPHC, department and community.
* Knowledge of or willingness to learn about the role of public health in addressing racism, the social determinants of health, and inequities in health outcomes as well as strategies to advance racial justice and health equity.
* Excellent telephone and interpersonal communication skills.
* Ability to understand instructions and communicate clearly and effectively, verbally and in writing.
* Ability to exercise sound judgment in security related incidents, or with regards to perishable deliveries.
* Ability to operate complicated telephone, copier and fax equipment after training.
* Ability to operate scheduling software for coordinating conference rooms.
* Ability to work in a cooperative and collaborative manner with many people of all levels.
* Ability to respond to the public both on the telephone and in person in a professional, courteous and efficient manner. Ability to follow directions and follow-up on tasks assigned.
* Flexibility and teamwork required.
* Ability to bend, lift, carry and transport 30 lb. boxes of paper, office furniture and files using 2-wheeler.
* Bi-lingual candidates preferred.
* Must comply with all BPHC flu and COVID vaccination requirements annually.
