Job Summary: We are seeking a friendly, organized, and detail-oriented Receptionist/ Mail Clerk to join our team. This dual-role position is crucial in ensuring smooth daily operations by managing front desk activities and handling mail services efficiently.
Key Responsibilities:
Receptionist Duties:
- Greet and welcome visitors in a professional and courteous manner and determine the nature of the visit.
- Alert the appropriate party of the visitor arrival or directs visitors to appropriate employee or office/conference room.
- Takes and distribute accurate messages or check voicemails through Genesys.
- Responds to routine inquiries from internal or external
- Maintain a tidy and organized Office , Breakroom and Conference Room Areas
- Manage the front desk, including maintaining a clean and organized reception area.
- Schedule and coordinate appointments and meetings.
- Assist with administrative tasks such as data entry, filing, and document preparation.
- Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.
- Performs varied activities and moderately complex administrative/operational/customer support assignments.
Mail Clerk Duties:
- Receive, open, sort, scan and distribute incoming mail and packages.
- Prepare and send outgoing mail, including certified and express mail.
- Maintain accurate records of mail transactions.
- Ensure timely delivery of mail to appropriate departments and staff.
- Manage Postage Meter and office supplies related to mail services and order as needed.
- Assist with other clerical duties as assigned.
- Verify all mail is weighed and has appropriate postage required before mailing using postage meter.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Previous experience in a receptionist or mail clerk role preferred.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
