The Receptionist is responsible for answering and directing incoming calls, providing basic information to visitors and callers, and greeting clients professionally. The role handles incoming and outgoing mails, and coordinates appointments, meetings, and office events. They maintain office supplies and ensure a clean and organized workspace and assist with administrative tasks.

The wage range for this role considers many factors, such as training, transferable skills, work experience, licensure and certification, business needs, and market demands. What will your job entail?
- Be the First Point of Contact: Answer and direct incoming calls with a friendly and professional demeanor, ensuring callers are connected to the right individuals or departments.
- Information Hub: Provide visitors and callers with essential information about our products, services, and policies, including company address, directions, fax numbers, and website details.
- Warm Welcomes: Greet visitors and clients with a smile, making them feel welcome and valued as they arrive at our office.
- Reception Area Management: Keep our reception area clean, organized, and professional, creating a positive first impression for all who enter.
- Mail and Package Handling: Efficiently manage incoming and outgoing mail, packages, and deliveries, ensuring they reach the appropriate recipients promptly.
- Express Mail Coordination: Coordinate the pick-up and delivery of express mail services (FedEx, UPS, Messenger, etc.), ensuring timely and accurate deliveries.
- Administrative Support: Assist with various administrative tasks, including data entry, typing memos, filing, photocopying, faxing, and scanning documents as needed.
- Scheduling Maestro: Schedule appointments, meetings, and conference rooms for staff and clients using electronic calendars or scheduling software. Manage guest entries through the I-Visitor system.
- Event Coordination: Help organize office events, meetings, and conferences, including arranging catering and logistics to ensure smooth and successful gatherings.
- Supply Chain Management: Maintain office supplies inventory, place orders as needed, and ensure adequate stock levels. Receive, stock, and distribute office supplies efficiently.
What you will bring:
- 5+ years of prior corporate receptionist/office coordinator experience.
- 2+ years of executive administrative experience preferred.
- Microsoft Office proficiency.
