Position Summary
The Receptionist is responsible for answering and directing incoming calls, providing basic information to visitors and callers, and greeting clients professionally. The role handles incoming and outgoing mails, and coordinates appointments, meetings, and office events. They maintain office supplies and ensure a clean and organized workspace and assist with administrative tasks.
What will your job entail?
Responsibilities: Answers and directs incoming calls to appropriate individuals or departments within the organization. Provides basic information to visitors and callers about the organization's products, services, and policies. Provides information such as company address, directions to the company location, company fax numbers, company website, and other related information. Greets visitors and clients in a professional and friendly manner as they arrive at the office. Manages the reception area, keeping it clean and organized and ensuring it presents a professional image. Handles incoming and outgoing mail, packages, and deliveries, and distributing them to the appropriate recipients. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, Messenger, etc.) Assists with administrative tasks such as data entry, typing of memos, filing, photocopying, faxing, and scanning documents as needed. Schedules appointments, meetings, and conference rooms for staff and clients using electronic calendars or scheduling software. Schedules guests for entry through I-Visitor system. Assists with the coordination of office events, meetings, and conferences, including arranging catering and logistics. Maintains office supplies inventory and places orders for supplies as needed to ensure adequate stock levels and receives, stocks, and distributes office supplies. Work Experience: Minimum of 1 year of experience in Front desk operations or Administrative support is preferred. Education: High School Diploma or equivalent.
