Responsibilities:Works closely with the director, patients, therapists, agencies, HealthPRO colleagues, physicians and other healthcare providers to insure excellent communication, customer service, service delivery, and efficiency in the overall operations.
Responsibilities Include (but are not limited to):
- Managing all operations communications. There may occasional calls/texts/emails that need to happen outside of business hours.
- Staffing new referrals, obtaining and sending weekly schedules to agencies, and managing the active patient map
- Documenting productivity numbers and time off and illness requests.
- Staffing facility hours and coordinating details and trainings with therapists.
- Agency and therapist relations: documenting conflicts, verifying addresses and other important patient and/or provider info,
- Facilitating communication between agencies and therapists and aiding in their coordination with each other.
- Assisting Director to set up new agencies including getting them set up and trained on TheraSync
- Managing and innovating office operations records and systems.
- Responsible for updating the cloud-based storage system and ensuring they are up to date.
- Responsible for managing employee records, vacation/PTO requests, hardware, medical equipment, software access, bags, and expense receipts.
- Handling of complaints: Report, document, manage, solve, and prevent issues, and reduce risks that can adversely affect the operation
- Responsible for participating in East Texas’s weekly meeting call
- Audit clinical documentation to prevent problems
- Payroll/Billing Responsibilities ensuring that all payroll/billing is accurate
- Daily management and documentation of all tools in TheraSync.
- Assist and participate in East Texas’s weekly operations reports, meetings, and calls.
- Manage new hire documentation, communication, and onboarding.
- Management of all weekly operations reports.
- Performs essential job functions with or without reasonable accommodations.
Responsible for all other management duties as assigned by HealthPRO-Heritage at Home to facilitate optimization, growth and efficacy of the operation.
Qualifications:The ideal candidate will have a fun, outgoing personality that will convey our eagerness to assist clients with the care of their patients; while at the same time, being able to communicate quickly and concisely. Experience in a physical therapy office setting, with knowledge of staffing procedures and Medicare rules and regulations, is preferred. A two (2) year college degree or equivalent college hours preferred. The right candidate that possesses a quick learning curve with the ideal intelligence, personality, & computer savvy will be considered in lieu of college degree or experience. Must be an organized self-starter who is proficient with desktop and laptop computers running Windows operating system; Google Chrome or Mozilla Firefox web browsers; Microsoft Office (Word and Excel) software; and cell phone texting applications.
