Position Overview:
We're seeking a Receptionist and Social Media Coordinator who enjoys working in a collaborative environment and values meaningful interactions with both clients and internal teams. This full-time, Monday to Friday, 8 AM - 5 PM position is fully on-site at our office in Louisville, KY. It's ideal for someone who is organized, enjoys multitasking, and is passionate about creating engaging social media content.
Key Responsibilities:
Front Office Duties:
- Answer incoming calls, route them appropriately, and take messages.
- Greet clients and walk-ins with polite small talk.
- Create tickets for client drop-offs, hand out repaired equipment, and accept payments.
- Update client tickets with detailed call information.
- Oversee daily upkeep and cleaning of the office, including managing printer paper and watering plants.
- Post holiday closings as necessary.
Social Media Coordination:
- Collaborate with the team to create weekly work-related posts utilizing company pages on Facebook, LinkedIn, Google, and Instagram.
Client Relations & Internal Communication:
- Communicate effectively with clients and the internal team.
- Listen to clients' needs, document information clearly, and ensure accurate information is passed to the appropriate departments.
Special Projects:
- Organize decorations for birthdays and anniversaries, create emails, and prepare cards and gifts as approved.
- Prepare a monthly or bi-monthly praises email to celebrate team successes.
- Manage mail in and out, including mailing invoices and correspondence, receiving checks, and processing payments.
- Provide assistance with vendor bills and light accounting tasks as needed.
What We're Looking For:
- Strong communication skills, both verbal and written.
- Excellent organizational and multitasking abilities.
- Experience with social media platforms (Facebook, LinkedIn, Google, etc.).
- Ability to assist with billing, payment processing, and light accounting tasks, ensuring accuracy and timely execution.
- Attention to detail, particularly when handling customer information.
- A positive, customer-focused attitude.
- Preferred: 2-3 years of experience in a similar role.
