- Reception and Client Interaction
- Greet clients and visitors in a friendly, professional manner.
- Answer and direct phone calls, managing inquiries and directing them to appropriate team members.
- Handle general inquiries about firm services, policies, and procedures while maintaining confidentiality.
- Administrative Support
- Schedule and coordinate meetings, conference room bookings, and other appointments.
- Manage incoming and outgoing mail and deliveries, ensuring prompt handling.
- Support in the preparation of documents, reports, presentations, and other materials as needed.
- Assist with light data entry, filing, and maintaining electronic and physical records.
- Office Management
- Monitor and replenish office supplies, coordinating with vendors as necessary.
- Maintain the appearance of the front desk area and lobby, ensuring a tidy and organized space.
- Assist with organizing client events, meetings, and other firm-sponsored activities.
- Education: High school diploma or equivalent; an associate or bachelor's degree is a plus.
- Experience: Minimum of 1-2 years in a receptionist or administrative role, ideally within the financial or investment industry.
- Skills:
- Excellent communication skills, both written and verbal.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and work effectively in a fast-paced environment.
- Attributes: Professional demeanor, high degree of confidentiality, and ability to handle sensitive information.
- Knowledge of finance or investment industry terminology.
- Basic knowledge of scheduling and administrative software (e.g., Microsoft Teams, Zoom, calendaring software).
- This role requires a presence during standard business hours.
