JOB SUMMARY:
The Receptionist is guided by the Administrator and Administrative Office Supervisor. He/she provides assistance to all residents, visitors and staff as directed. Duties within the job description are outlined. A Receptionist is required to follow all instructions as outlined in the job description. He/she will carry out all responsibilities as outlined.
KNOWLEDGE, SKILLS AND PERSONAL QUALIFICATIONS:
- Must be personable.
- Must be able to use the telephone system and manage several incoming calls at the same time.
- Must have computer knowledge of WORD and EXCEL.
- Must be able to use the copier and fax machine.
- Must be able to relate to long-term care individual’s needs.
- Must be able to carry out assigned tasks to completion.
- Must have good communication skills; must understand English; written, oral and listening.
- Must be able to observe and demonstrate proper safety and sanitary techniques.
- Must be a team player, able to work independently, and with a wide variety of individuals.
- Must maintain a responsible and positive attitude.
- Must have good organizational skills.
- Must be able to multitask.
DEPENDABILITY:
- Maintains a good attendance record.
- Flexible about scheduling which includes holidays, weekends, and night as assigned by the Administrator or Administrative Office Supervisor.
- Accepts and utilizes constructive criticism.
- Attends mandatory in-services.
- Performs duties reflective of assigned work scheduled hours.
DRESS CODE/APPEARANCE:
- Name badge will be worn at all times while in the building.
- Maintains a neat and clean appearance at all times.
- Professional casual appearance. Shirts, blouses, pants or skirts.
- No blue jeans, T-shirts, sweatpants or shirts, or gym-like attire, unless as designated by the Owner or Administrator.
- Shoes should be leather or fabric. No flip-flops or Crocs. Footwear should not put the wearer at risk for injury.
- Facial hair must be kept neat and groomed at all times.
- Jewelry and nail length must not interfere with performance of job duties as per facility policy, i.e., no dangling jewelry.
- Clothing should be neither tight nor excessively baggy.
- Perfumes should be avoided or kept at a minimum so as not to offend others.
RESPONSIBILITIES OF DAILY FUNCTIONING:
- Monitors and ensures the safety of the lobby area.
- Answers “Code Alert” at the front door, ensuring that no resident leave the building unattended.
- Stays with residents until alternate staff relief arrives.
- Makes copies as assigned.
- Ensures that the copier and fax machine are filled with paper daily.
- Sorts resident mail and places in the assigned area.
- Fills out employee time cards.
- Labels resident clothing and delivers to resident rooms, ensuring that nursing staff sign-off on sheet.
- Gives tour sheets to prospective clients and ensures that Admissions or Nursing Supervisor are notified of tour.
- Ensures that visitors sign in and out on Visitor Sign-In Book.
- Works with a minimum of supervision. Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, co-workers, support agencies and outside agencies.
- Must be able to observe, listen and communicate effectively with residents and co-workers.
- He/she must treat all residents and co-workers with dignity and respect.
- Upholds facility policies and the Mission Statement.
- Understands and upholds the Resident’s Bill of Rights.
- Abides by the facility’s HIPAA regulations and holds all resident information confidential.
- Understands the policies and responsibilities concerning infection control, safety, accident and fire prevention.
- Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and at times, hostile residents.
- He/she demonstrates awareness of safety issues and maintains a safe environment throughout the facility.
- Discusses any problems, needs or concerns which may arise with the Administrative Office Supervisor and/or the Administrator.
- Attends In-service education classes and on-the-job training programs as directed.
- Participates in Quality Assurance activities.
- Responds to all alarms; Code Red (fire), Code D (disaster), Code G (armed intruder), and Code Green (facility manpower required), as well as resident alarms in room, bathroom, bed and wheelchair.
- In addition to the above duties, employees are expected to do any and all work as instructed by the Administrative Office Supervisor and/or the Administrator or his/her designee deemed necessary in the operation of the department as well as the facility.
Looking for per diem receptionists with avaliabltity between 7-3pm or 3-7:30 pm. Duties include but are not limited to the following:
-Answering Phones
-Paging overhead
-Protect residents
-Meeting incoming admissions
-Familiar with Microsoft Excel & Word
