Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, has an immediate opening for a Records Analyst based in our Los Angeles office.
The Records Analyst will work under the direction of and report to the Records Manager to maintain the Retention Program. The Analyst will review and dispose of paper and electronic records following the Firm’s retention policy and procedures. This role will also be responsible for gatekeeping access to information, both paper and electronic, in the Firm’s custodianship.

Responsibilities:
- Process files for destruction or release back to client
- Update records management database
- Contact clients to gain disposition instructions
- Communicate retention policies and procedures and act as liaison with the end users at the firm
- Analyze and provide suggested improvement to retention procedures firm wide
- Assist Records Manager in the relationship with third party vendors
- Adhere to and help enforce firm Records and Information Governance policies and procedures
- Adhere to general safety practices as well as any unique departmental safety guidelines
- Review access requests and determine if they can be authorized and configured
- Create on demand confidentiality and ethical walls using data management software
- Other duties as assigned
Essential Functions of Job:
- Process authorized access requests using data access management software
- Review for destruction or other disposition paper and electronic records belonging to clients and the firm following set retention schedules
- Review records management database to locate files up for retention review
Qualifications and Experience
Required Qualifications:
- Minimum 2 years’ experience, or equivalent experience, in the disposition of information and the management of data access requests. Knowledge of MS Office Suite.
- Good communication skills (interpersonal, telephone, written).
- Good analytical, proofreading and problem-solving skills.
- Ability to work as a team unit.
- Excellent organization skills.
Preferred Qualifications:
- Knowledge of IRM or File Trail records management software.
- Experience with ethical wall software such as InTapp Walls.
- Ability to perform detailed work accurately, thoroughly and consistently.
- Ability to prioritize tasks in an ever changing, fast paced environment.
Education
Required: High School Diploma or equivalent.
Preferred: Bachelor’s Degree
Computer/Software Knowledge
Preferred:
- Minimum 2 years of experience using IRM or File Trail.
- Minimum 5 years of experience using Microsoft Office Suite.
Work Environment
- This position is required to work physically in the Los Angeles office Monday through Friday.
- Overtime may be required as the job duties demand.
Travel Requirements
Up to 10% - potential travel to other SMRH offices to provide assistance.
California: The pay range for this position is $28.00 to $35.00 per hour.
