We are seeking a dedicated Medical Records & Demands Supervisor to join our team. The ideal candidate will be responsible for providing support and assistance to clients in the Medical Records & Demand department, ensuring their needs are met effectively and efficiently. The Medical Records Supervisor will manage a team of five, and should have strong leadership, communication, and delegation skills.
Responsibilities
MEDICAL RECORDS& BILLING REQUESTS
- Write medical providers to request records and bills.
- Communicate to case managers through Filevine about what records/bills have been requested and what records/bills have been received.
- Organize medical records when received.
- Review records and bills for relatedness, discrepancies, high billing, etc.
- Order films of broken bones, head trauma, herniated discs.
- Submit and follow up on HIPAA-compliant medical records and bill requests to the client’s treatment providers
- Paper requests via electronic fax
- Electronic requests via e-mail and online patient portals.
- Track and update the status of client medical releases as required.
- Assist in the various facets of case work relevant to medical records and billing.
- Clarify treatment providers/days/locations.
MEDICAL BALANCE UPDATES
- Verify all outstanding balances for client treatment with their providers.
- If applicable, ensure clients are using their health insurance and that providers are submitting the bills to the insurance company.
- Direct providers to submit billing to appropriate party, whether health insurance or medical payments coverage.
- Track balance information in client’s Filevine file, and update/alert the case managers on important treatment/balance information.

Knowledge, Skills and Abilities Required
- At least 5 years recent leadership experience, preferably managing or leading professionals in a personal injury firm
- Knowledge of the Texas Rules of Civil Procedure, civil subpoenas, and HIPAA is a must.
- Exposure to medical terminology
- Strong organizational and delegation’s skills
- Excellent communication skills and positive attitude
- Must be collaborative – team player (Experience partnering with multiple departments)
- Strong critical thinking and problem-solving skills
- Experience in the Pre-litigations support or records retrieval industry preferred
- Proficiency in computer applications and typing is a must.
- Proficiency in Microsoft Office
- Experience with Filnevine and Salesforce software is a plus
- Excellent time management and organizational abilities
Education & Certification
- High School Diploma
- An associate’s degree in healthcare administration or business administration is preferred.
- A minimum of 3-5 years' experience in the same role, related field in a law firm setting is required.
