**The Department of Family Medicine has an outstanding opportunity for a Research Coordinator to join their team.**
This position is for an experienced research coordinator in PRIME Lab (https://familymedicine.uw.edu/prime-lab/) who will support research efforts related to primary care and practice-based research, such as testing and implementing evidence-based treatments in primary care, improving quality improvement capacity within primary care practices and leveraging electronic health records to improve health. Research projects will include but are not limited to studies about sinusitis, integrated behavioral health, addiction, chronic pain, and loneliness, with an eye towards cutting edge transformation of primary care. Many of the studies in PRIME lab are multi-site clinical trials that require working with multiple Principal Investigators, experience developing and executing complex research protocols, and liaising with diverse stakeholders at partner institutions and clinical research sites within our practice-based network throughout the Pacific Northwest. This position will include leadership of elements of the research process and supervision of other research staff and student assistants.
The position involves coordinating and overseeing the research, financial, and operational, functions for research studies as well as supervising other research staff and student assistants. Specific complexities include:
+ Developing and verifying study protocols and investigative procedures to accomplish research goals; assisting junior team members in executing and adhering to established protcols and procedures
+ Developing study and project timelines and preparing ongoing projections and reports on research milestones and data collection to sponsor and collaborating partners
+ Providing primary project management duties with minimal supervision that include tracking and monitoring project tasks, agenda setting and meeting facilitation, and material preparation to facilitate projects and studies
+ Integrating information from multiple sources to support research teams and faculty leads, to ensure that research projects meet or exceed the requirements of the University of Washington, collaborating institutions and sponsors
+ Liaising and cultivating strong relationships with clinical sites and collaborating institutions to maintain contracts, meet research milestones and meet requirements for progress reporting and data quality standards
+ Providing support to faculty, staff and students (including student assistants and medical students) across multiple domains: pre-award by coordinating proposals and drafting sections in collaboration with project leads as needed; post-award by assisting with travel and submitting for approvals for general purchases and reimbursements; research by consulting and collaborating with research leads on protocols, IRB submissions, and ongoing study management
+ Composing new IRB applications and modifications and maintaining existing human subjects IRB applications for multiple IRBs across collaborating institutions, including additional complexity related to proper stewardship of Protected Health Information (PHI)
+ Identifying and correcting any protocol deviations as well as monitoring adverse events and reporting to the IRB and sponsors as required
+ Overseeing a team of junior staff and student who contribute to participant recruitment, data collection, and data management
+ Contributing to development of presentations, and publications by drafting text; creating tables, figures, and charts; conducting literature review and providing appropriate referencing to existing literature; submitting co-authored work to peer-reviewed journals and academic conferencesThis Research Coordinator position is crucial for ensuring that UW School of Medicine stays abreast and contributes innovative clinical research to the vital fields of integrating behavioral health and substance use care into primary care as well as implementation research that answers timely questions about how to leverage existing evidence-based practices to holistically improve care quality. In line with this goal, this position will support clinical trials in PRIME lab and help maintain UW's reputation as a leading contributor to innovative research in primary care. **DUTIES AND RESPONSIBILITIES**
+ Coordinate regular research and study team meetings, including scheduling, and preparing agendas and minutes.
+ Prepare and manage institutional review board applications and modifications.
+ Develop and manage interim progress reports to share with a multi-site team of investigators, sponsors, and institutional review boards.
+ Serve as primary liaison between the project teams, the sponsors, the clinical research sites and or other stakeholders.
+ Oversee participant recruitment and engagement efforts, developing standard operating procedures for team to execute, and problem-solve recruitment and communication issues with participants as they arise.
+ Developing and verifying study protocols and investigative procedures to accomplish research goals; assisting junior team members in executing and adhering to established protocols and procedures.
+ Liaising and cultivating strong relationships with clinical sites and collaborating institutions to maintain contracts, meet research milestones and meet requirements for progress reporting and data quality standards.
+ Assist faculty and other research leads with monitoring budgets, contracts, subcontracts, and related to the research project; provide post-award planning support, track expenditures, and assist with submitting for approvals for travel arrangements, purchases, and reimbursements.
+ Coordinate internal and external communications. Facilitate connections between collaborators at partner institutions and clinical research sites. The position involves coordinating and overseeing the research, financial, and operational, functions for research studies as well as supervising other research staff and student assistants.
+ Contribute to and potentially lead the development, editing and submission of manuscripts, posters and presentations to peer-reviewed journals and academic conferences.
+ Provide independent project management of complex, multi-site research studies. Coordinate day-to-day research operations, including tracking research milestones, site invoicing, subcontract support, reporting efforts of project teams across collaborating institutions, etc.
+ Advise PI on resource allocation (staffing, materials, etc.) to achieve study aims. Create timelines and project plans, determine priorities among competing tasks, utilize project management software to monitor activities and progress and ensure that projects are executed successfully and completed within time frames to meet research objectives.
+ Providing primary project management duties with minimal supervision that include tracking and monitoring project tasks, agenda setting and meeting facilitation, and material preparation to facilitate projects and studies.
+ Developing study and project timelines and preparing ongoing projections and reports on research milestones and data collection to sponsor and collaborating partners.
+ Develop and supervise a team of junior research staff and student assistants to assist across several studies. Coordinate recruitment, interviewing, hiring and onboarding processes.
+ Work with team members to define work plans, set goals, manage performance, and support professional development.
+ Proactively meet with team members to align duties with professional interests when possible, assess progress and problem solve challenges as they arise.
+ Integrating information from multiple sources to support research teams and faculty leads, to ensure that research projects meet or exceed the requirements of the University of Washington, collaborating institutions and sponsors. **MINIMUM REQUIREMENTS**
+ Bachelor's degree or equivalent experience.
+ 3 years' experience. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Experience coordinating multi-site research projects across institutions, including reliance agreements with external IRBs.
+ Experience supporting clinical trial IRB application submissions, including complying with HIPAA regulations to steward participant PHI.
+ Proficiency in standard workplace computer programs such as Microsoft Office, Excel, Outlook, PowerPoint and project management tools.
+ Experience with project management principles and software (MS Project, Asana, Smartsheets, etc.).
+ Proficiency in electronic data capture/data management tools including REDCap.
+ Excellent interpersonal and communication skills needed to work with a multidisciplinary team.
+ Experience with financial and regulatory processes and systems within UW research ecosystem. **DESIRED QUALIFICATIONS**
+ Experience in primary care practice-based research.
+ Experience supervising and/or providing oversight of other research staff and/or student workers.
+ Experience coordinating studies with participants that speak different languages. **CONDITIONS OF EMPLOYMENT**
+ PRIME Lab operates with a hybrid schedule, with the expectation of in-person work at least 1 day each week.
+ Additional in-person hours and travel may be required to help build relationships with clinical research sites.
+ Some minimal weekend and evening hours may be expected infrequently to support participants in execution of the research protocols.
+ The Research Coordinator shall work in a collegial and collaborative environment with staff and faculty members within the UW Department of Family Medicine Research Section as well as with researchers and staff from other UW departments and organizations outside the UW.
+ The Research Coordinator must be able to work independently and collaboratively with a variety of faculty investigators and staff members from multidisciplinary backgrounds on projects.
