Job Description:
- Procurement & SAP Support (40%): Raise and monitor Purchase Requisitions (PRs) for Global Medical Affairs, ensuring smooth transitions to Purchase Orders (POs). Record PR details, including GL and WBS codes, PR numbers, PO numbers, and delivery dates. Communicate approved PO details to vendors, Medical Operations, and Medical Leads. Resolve PR/PO issues in collaboration with Procurement. Extract SAP PO reports and assist in closing previous fiscal year POs with the Medical Affairs Operations Senior Manager. Manage the Medical Affairs Operations inbox for vendor invoices and perform "goods receipting" upon approval. Process invoices in SAP and maintain a transaction tracker. Liaise with Accounts Payable on payment issues, providing status updates to the Medical Lead.
- Medical Education Grants (40%): Monitor the CyberGrants portal for new applications and communicate with CLIENT contacts. Schedule and prepare materials for Grant Review Committee (GRC) meetings. Process grant requests in CyberGrants based on GRC outcomes. Develop Grant Agreements for approved requests, coordinating with requestors and Legal. Obtain signatures for Grant Agreements, process payments, and manage project close-outs. Maintain accurate documentation for audits and ensure compliance with legal and industry standards. Update the Medical Education Grant tracker and prepare documentation for annual audits.
- HCP Agreements & Payments (15%): Assist in developing HCP Agreements and coordinate FMV approvals with regional Directors. Liaise with HCPs for Agreement acceptance and manage amendments with Legal. Secure signatures via the Legal Database (Companion) and ensure documentation is uploaded. Compile transfer of value reports for disclosure and submit to relevant Seqirus functions.
- Ad Hoc Activities (5%): Provide support during absences in Medical Affairs Operations. Assist with document drafting, filing, and DocuSign workflows. Address various ad hoc requests, including processing expense reports and administrative tasks.
- Shift Schedule: Monday – Friday, 40hrs./week (Hybrid: 3 Days Onsite)
- Pay Rate: $50 – 71/Hour
Qualifications:
- Bachelor Degree, Minimum Required
- Experience within Pharmaceutical Industry
- Medical Affairs Background/Experience
- Experience with agreements such as Contractual Agreements, Clinical Trial Agreements, and Vendor Agreements
- Experience with Medical/Pharma Databases, CyberGrants Preferred
- Background/Experience with Grants
- 12-Month Contract to Start, conversion/extension on performance
