Overview
The Reservations Group Coordinator is responsible for handling the rooms block accurately and in a timely matter. He/She ensures accuracy of rooms and rates, cut off dates, rooming lists and payment options. Manages Passkey and activate booking links and sell messages for individual booking groups. Works with Conference Service and Meeting Planners for questions and requests regarding rooms block. The Group Coordinator provides exceptional service to the guest, always conveying a warm and friendly attitude. Courteously and efficiently handle guest calls and emails. He/She supports the Reservations Team with reservations calls when needed.
Responsibilities
Daily Operations
As Group Coordinator your responsibilities will include, but are not limited to the following:
• Constant execution of Margaritaville Hollywood Beach Resort standards and policies
• Understand the impact of each group block in the overall hotel strategy.
• Ensure accuracy of group blocks including cut-off date, pick up, rates, etc.
• Block special request reservations and suites.
• Ensure appropriate information is available for individual call-in groups.
• Process and respond to all group inquiries from Meeting Planners and Sales Managers.
• Process all incoming reservations received via rooming lists, mailed, or in-house correspondence. Mail confirmation and literature requests or reply via fax when requested.
• Compile and verify commissions owed.
• Monitor Housing Bureau pick up and communicate with management. Leads the Pickup meeting.
• Set up a trace system for each group with regular documented conversations with clients, convention services managers, and reservations manager.
• Have strong knowledge of hotel facilities and services, and local attractions.
• Answer all incoming calls in an efficient manner. Provide guests with the requested information concerning the city and its services.
Additional Responsibilities:
1. Cross train with Reservations Agents to take pertinent reservation information, to provide coverage to the department when needed.
2. Execute any walk-in reservations and phone in reservations for the day of and also when the central reservations department closes.
3. Maintain a clean and professional work environment at all times.
4. Attend monthly departmental meetings

Qualifications
Qualifications:
1. High school diploma or high school equivalent. College degree preferred.
2. At least two years of related guest service experience, with one year of hotel experience.
3. Excellent communications skills in English, in person, on the telephone, and in writing.
4. Professional appearance, well groomed within company guidelines.
5. Knowledge of Opera Property Management System. Passkey and Delphi preferred.
6. Outstanding listening and implementing skills.
7. Excellent organizational and time management, decision-making and planning skills.
8. Able to multi-task and maintain upbeat and positive working relationships while providing excellent guest service.
9. Ability to be a team player and a leader given the time and task.
Physical Requirements:
1. The incumbent should be able to stand continuously for 1 hour.
2. Should be able to lift up to 35 pounds occasionally.
3. Incumbent must be able to communicate clearly.
