Our Residential Program is seeking a highly organized and energetic Temp Office Manager. This position maintains administrative support and oversight of the Residential Division’s office support workflow. The employee upholds focus on premier services by providing oversight and making improvements in efficiency and effectiveness, as well as providing supervision of the Residential Office Support team.
ESSENTIAL FUNCTIONS:
- Implement new and/or existing operating practices as identified and maintain those practices as identified by performing regularly scheduled system audits.
- Provide appropriate follow-up to ensure compliance related to the financial records associated with reconciling both individual and program-related accounts with all relevant policies and regulations.
- Coordinate and oversee SNAP benefit (DTA) communications, scanning and emailing documents and filing.
- Resolve administrative issues by analyzing information, then identifying and communicating proposed solutions, as appropriate.
- Assist staff with budget issues as directed and as needed and review specific budget line items monthly as identified.
- Collaborate with Human Resources and Fiscal Departments to assure accurate FTE complement is attained, maintained, and filled with the appropriate staff.
- Maintain rapport with all Residential staff, managers, and other Agency employees by utilizing and creating consistent communication protocols.
- Foster premier service in both internal and external interactions.
- Work closely with Vice President of Residential Services to set office support team priorities/goals and direct the workload of the Residential Office Support team.
- Attend Residential Division meetings, as requested, to remain current on all activities within the programs, as well as assure minutes to meetings are gathered, reviewed, and stored.
- Maintain continuity of work operations by documenting and communicating needed actions to management, discovering irregularities and determining/identifying continuing needs of the program.
- Suggest and presents for review potential new procedures to Vice President of Residential Services to assist in maintaining best practices and update administrative policies, procedures, methods, and guidelines as needed; communicate new/updated procedures, methods, and guidelines to Residential staff as directed by the Vice President of Residential Services.
- Complete administrative projects by identifying and implementing new technology and resources where applicable in coordination with the IT Department.
- Maintain the Residential Office Procedures Handbook; ensure the handbook remains accurate and updated at all times by proposing changes to the Vice President of Residential Services.
- Attend trainings, seminars, meetings, and professional development as required.
- Perform other duties as assigned by the Residential Senior Leadership team members.
- Participate in all staff meetings and required training sessions, including in-service training, as scheduled.
- Maintain all program and Agency-required trainings.
- May be required to use personal vehicle for work related purposes.
QUALIFICATION REQUIREMENTS:
- Knowledge obtained through attainment of a minimum of an associate’s degree in related field, plus 2 years’ administrative experience or equivalent combination of education and experience.
- 2 years of adult residential services experience required.
- 1-year supervisory experience required.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Skill in administrative office functions, including but not limited to typing, writing, budget, and computer operations.
- Skill in organization, prioritization, and working independently.
- Skill in communicating and working with others cooperatively.
- A qualifying criminal background check, driving record, and a valid driver’s license are required.
