About the Role: The RFP & Contract Coordinator is responsible for reviewing all Requests for Proposals (RFPs) from partner and prospective school districts, gathering resources to write compelling proposals, and managing all contract-related matters. This role involves collaborating with clinical, data, and sales teams to gather information and draft compelling narratives while managing strict submission deadlines. The coordinator will also serve as the key liaison for contract-related questions, coordinate with internal stakeholders, and oversee contract execution. The ideal candidate is a skilled project manager with a passion for mental health and a proven track record in drafting successful RFPs and managing contracts efficiently.
Primary Responsibilities:
Contract Management
- Serve as the key liaison for all contract-related questions and concerns.
- Coordinate and interact with internal stakeholders on all contract-related matters and updates.
- Oversee contracts and agreements and advance them through close-out and execution.
- Address and resolve any contract-related issues that arise, escalating them as necessary.
RFP Management
- Review all RFP components and collaborate cross functionally to collect input, data, and any information necessary to draft compelling, compliant content.
- Support submission of RFPs including leading kick-off meetings, project sessions, and review meetings.
- Write and revise assigned RFP responses to continue our relationship with partner districts and to establish business with potential districts.
- Utilize a range of project tools to ensure that all proposals are drafted, edited, and submitted by appropriate deadlines.
- Convert boilerplate and rough draft input from Subject Matter Experts (SMEs) into high-impact content for proposals.
- Edit documents for grammar, style, format, content, and design.
- Contribute to internal content repository for future submission use.
- Lead other RFP and Contract related projects, as necessary.
Qualifications:
- Possess a Bachelor's Degree or higher.
- Strong writer and editor with at least 2 years of RFP/grant writing experience.
- Knowledge of proposal best practices required/APMP certification preferred.
- Demonstrated success managing projects from pre-kickoff to completion.
- Can ask the right questions to gather information and build a compelling narrative about mental health and ESS programming.
- Provide timely status updates, proactively alert appropriate team members of any issues, and provide recommended solutions for issue resolution.
- Process-driven individual who values defined procedures.
- Independent worker who can meet critical deadlines with minimal supervision.
- Strong organizational skills and impeccable attention to detail.
- Quickly establish rapport, build credibility, and create partnerships at all levels within a company.
- Adaptable and organized team player who can toggle between multiple priorities.
- Previous content management application experience, such as Responsive or Loopio preferred.
- Self-motivated and can take initiative to drive results in a fast-paced environment.
- Flexibly support affiliated department projects, such as procurement vetting, sales proposals, and contract support.
