SafeChoice Compliance Specialist at YWCA Clark County

Company Sponsored Time: We are piloting a 4-day, 32-hour work week, and YWCA will provide this role 8 hours of Company Sponsored Time for you to use on Fridays to maintain work-life balance while maintaining pay at 40 hours a week.

The SafeChoice Compliance Specialist is responsible for providing checks and balances oversight of participant data in the SafeChoice Domestic Violence program and working with Director of Contract Compliance to ensure accurate data entry, record retention, and statistical reporting as required by SafeChoice grants and contracts.

Description:

• Assure that participants, staff, volunteers and community partners are treated with respect and dignity regardless of race, ethnic background, gender or socioeconomic background.
• Gain approval for, track, and engage in activities that meet the organization's 1% for Social Change requirement.
• Think through the lens of racial equity and its intersections with poverty. Use the core principles of anti-racism and grounding those principles in all daily tasks
• Incorporate the YWCA's commitment to social justice by understanding how racism, sexism, classism and other oppressions intersect and are embedded in institutions. Seek opportunities for continued learning about racial, gender and class equity.
• Data entry of client data and services into databases and systems required by funders including but not limited to EmpowerDB, Infonet, and HMIS.
• Adjust and customize EmpowerDB database fields, forms, reports, and user permissions according to grantor and agency requirements.
• Perform quality assurance reviews of staff members' data entry in various databases.
• Collaborate with Director of Contract Compliance and SafeChoice management to prepare, complete, submit, and monitor statistical data for funding applications, renewal applications, and reports to funders, especially as related to contract requirements and outcomes measures.
• Oversee, maintain, and provide quality assurance of participant files in both community office and shelter settings.
• Collect statistics for reporting purposes on a monthly, quarterly, and annual basis to all funders as required by contracts.
• Create and maintain training materials for staff on how to use client databases.
• Train new program staff on databases and provide ongoing, troubleshooting support to staff on using said databases.
• Support staff in troubleshooting issues with databases, data entry, reporting, and client files.
• Liaise with client database support staff to troubleshoot data and reporting issues as needed.
• Provide check and balances for outcome measurement tools such as program satisfaction surveys.
• Maintain and update program forms and paperwork related to participant data and services.
• Coordinate record retention and archiving of participant files including annual destruction of records in accordance with contract requirements and Washington Administrative Code.
• Gather and compile statistics as requested by Director of Contract Compliance, management team, accounting department, grant writer, philanthropy department, and others for many miscellaneous needs.
• Effectively and proficiently use MS Excel and Word, Adobe Acrobat, and other common software programs to fulfill position-related expectations as needed
• Perform job duties in such a way that prioritizes and protects the confidentiality of the domestic violence survivors accessing the SafeChoice program.
• Maintain a solution-oriented approach when resolving conflict.
• Proactively meet program and organization required training.
• Provide other administrative support to Director of Contract Compliance and SafeChoice program as needed

Related education: A.A./A.S. degree in a related field or position equivalent experience in addition to the experience requirements listed below.

Related Experience:

• Minimum of two years administrative experience that demonstrates knowledge of statistical reporting and analysis, aptitude to become proficient in database management, and ability to handle confidential information.
• Six months experience providing contract compliance and/or grant reporting, preferably for a domestic violence organization or similar non-profit.
