Summary:
Reporting to the Head of Customer Services, you will be an effective Sales Account Administrator providing an efficient contribution to the Customer Service Team. Primary responsibilities will include receiving inquiries, quotation processing, order processing, dispatch coordination, and Export and Quality compliance.

This position requires access to our export-controlled commodities, technical data, technology, and services. These items are restricted under the International Traffic in Arms Regulations (ITAR) to U.S. Citizens, Lawful Permanent Residents of the U.S., and properly licensed foreign persons. To conform to U.S. Government export regulations, applicant must be a i) a U.S. citizen or national, ii) U.S. lawful permanent resident (aka green card holder), iii) refugee under 8 U.S.C. §1157, or iv) asylee under 8 U.S.C. § 1158, or be a properly licensed foreign person. Therefore, employment is contingent on compliance with ITAR regulations and successfully obtaining and maintaining the necessary export authorization license from the U.S. Department of Commerce Bureau of Industry and Security (BIS) or U.S. Department of State Directorate of Defense Trade Controls (DDTC). Candidates must be authorized to work in the US.

- Input and process sales orders promptly to ensure timely and accurate delivery performance to customers.
- Review of sales orders to ensure full quality and financial compliance.
- Collaborate with other departments to ensure on time deliveries.
- Provide timely communications with customers to provide availability, shipping, and order status.
- Ensure completion of weekly and daily order management activities within the Customer Service role.
- Coordinate and process quotations to ensure timely inquiry response.
- Enter and maintain customer master data records.
- Complete and maintain records in line with audit and quality requirements.
- Develop and maintain all Customer Service quality procedures in accordance with various Quality Standards.
- Auditing: Ensuring that the department remains in a state of audit readiness for internal & external auditors.
- Teamwork: Contribute to the on-time delivery of Customer Service initiatives to drive best practices within the Customer Service Team.
- Customer First: Ensure behaviors and activities support Customer Charter delivery.
- Accountability: Coordinate with the sales team to support ongoing customer development, growth activities, and forecasting.
- Innovation: Support development of business processes to drive best practices within the Customer Service Team.
- Personal Development: Engage with personal growth and development initiatives to support team development.
- Integrity: Analyze, write and interpret general business correspondence, sales and purchase orders ensuring confidentiality where required.
Required Skills/Abilities:
- Excellent interpersonal skills in a team environment
- Ability to multi-task
- Experience using computer software such as MS Office; Word, Excel, Outlook and PowerPoint
- Working knowledge of SAP or similar ERP system is desired
- Experience with Salesforce or similar CRM system is desired
- Self-motivated individual with ability to use own initiative, prioritize tasks and work well under pressure.
- High level of attention to detail and accuracy
- Professional approach to work and when dealing with internal and external customers.

Education and Experience:
- Associates Degree in Business or relevant subject and/or proven experience in a similar role is required.
- Experience working in a customer facing Sales Administration department
- Experience using computer software such as MS Office; Word, Excel, Outlook and PowerPoint
- Experience in the metals and manufacturing industries would be an advantage.
- Export/Import experience would be advantageous.
