Job Description
The Sales Administrative Assistant accurately completes a variety of administrative duties requested by colleagues within the Sales, Convention Services, and Reservation Departments to provide timely and professional service to our guests.
Responsibilities
- Daily logging and distribution of all incoming sales and catering leads
- Types and distribute all correspondence, including proposals, contracts, etc. for assigned sales managers
- Ensures that all correspondence is 100% accurate and specific to each client
- Maintains account files and ensures all information is included in file (i.e. contracts, turnover checklists, post-convention reports, etc.)
- Professionally answer phone calls to the sales office and accurately takes messages, as applicable
- Takes detailed inquiry leads over the phone and submits to appropriate manager
- Enters group information (sites, resumes, banquet event orders, etc.) into computer database
- Accurately blocks function space in computer database for future group bookings
- Assists in coordination of site inspections and VIP requests
- Inputs amenities into computer for VIP clients and processes paperwork
- Serve as primary contact for securing and planning all logistical aspects of social rooms only group blocks
- Provide support to reservations team with entering individual and group block reservations into computer system
- Orders office supplies and maintains functionality of office equipment
- Assist with additional office coverage when necessary
- Ensure work area is clean and clear of standing water, debris or any objects that can obstruct the job duties from being performed safely, efficiently, and effectively
- Perform in a manner that demonstrates the philosophies of the Omni Hotels and Resorts culture and professionalism at every opportunity
Qualifications
- Must have good organization skills, attention to detail, and be able to multi-task
- Must have excellent written and oral communications skills
- Maintain a professional business appearance, attitude, and performance
- Willingness to learn and build upon existing administrative, sales, and customer service skills
- Ability to effectively use Microsoft Word, Publisher, Outlook, and Excel is required
- Knowledge of current relevant computer software programs is preferred (Delphi, Salesforce, Opera knowledge preferred)
- Associate or advanced degree in business or hospitality preferred
