Mission:
As a Sales Administrative Assistant at PolicyBind, your mission is to provide key support to the Sales team by assisting in coordinating sales activities, and ensuring the smooth execution of administrative tasks. This role requires an organized and detail-oriented individual with excellent communication skills, who can work collaboratively to help the Sales team meet its goals.
Must Have:
- Bachelor’s degree in Business, Marketing, or a related field (preferred but not required).
- 1-2 years of experience in a sales support or administrative role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in CRM systems (e.g., Salesforce, HubSpot) and GoogleSuite
- Ability to work independently and collaboratively in a fast-paced environment.
- High attention to detail and ability to manage multiple priorities.
- Knowledge of digital marketing and the insurance industry is a plus.

Key Responsibilities:
- Assist the Sales team with daily administrative tasks, including preparing sales reports, managing calendars, and organizing meetings.
- Coordinate sales activities by tracking and managing leads, follow-ups, and client communication.
- Provide support in the preparation of proposals, presentations, and sales documentation.
- Maintain and update the CRM system with accurate and up-to-date client information.
- Assist in managing client relationships by responding to inquiries, scheduling follow-ups, and providing prompt customer service.
- Collaborate with Marketing to support the sales process by helping to prepare marketing materials and coordinating campaigns that align with sales objectives.
- Help organize and track sales pipelines, identifying opportunities for improvement.
- Conduct research on prospects and compile relevant information for sales team members.
- Assist in the preparation and execution of sales events and conferences, both virtual and in-person.

Ensuring accuracy in data entry, CRM updates, and communication to avoid errors that could impact the sales team’s performance.
3. Technical Proficiency: Proficiency in using CRM systems (e.g., Salesforce, HubSpot) to maintain client information, track sales activities, and manage pipelines. Strong knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) or similar software for managing data, creating reports, and preparing presentations. Ability to use online tools for research, lead generation, and staying organized (e.g., Google Workspace, Slack, and project management tools).
4. Customer Service Skills: Building rapport with clients and prospects to foster trust and long-term relationships. Addressing client concerns efficiently and providing solutions that align with the company’s offerings.
5. Collaboration and Teamwork: Working closely with the sales team, marketing, and other departments to support overall business goals. Being flexible and able to work in a dynamic environment, handling various responsibilities as the sales team’s needs evolve.

8. Data Management and Reporting: Ensuring accurate input and tracking of data in the CRM system and other platforms. Ability to generate sales reports, track metrics, and analyze sales performance to provide valuable insights to the sales team.
9. Negotiation and Persuasion (Basic): While not the primary focus of the role, having a basic understanding of negotiation tactics and persuasion can help support the sales team during client interactions.
