The Sales/Estimator position within our Crane and Rigging department is a dynamic role that requires a blend of strong communication, technical proficiency, and customer-focused skills. Responsible for managing customer interactions, this role involves promptly responding to inquiries, generating accurate quotes and estimates using CRM software, and ensuring all necessary documentation and information are obtained for project execution. A keen attention to detail is essential for maintaining organized records and effectively communicating project scopes to both internal teams and customers. With a focus on providing exceptional customer service and contributing to the success of each project, this role offers the opportunity to make a meaningful impact within our organization's crane and rigging operations.
JOB RESPONSIBILITIES:
Prompt Customer Communication:
- Answer phone calls and reply to emails within 2 hours of initial contact attempt
Manage Customer Information:
- Add and update customer data within CenPoint system
- Ensure receipt of all necessary documentation and information including billing address, billing emails, site address, site contacts, W9, Certificate of Insurance, and Tax Exemption Certificate if applicable
Quote and Estimate Preparation:
- Generate quotes and estimates in CenPoint based on customer-provided information, including verbal instructions and electronic data from emails, plans, and drawings
- Send quotes via email and provide tracking links for easy reference.
- Maintain detailed notes on scopes of work within quotes, including all relevant plans and pictures
- Include comprehensive site contacts, billing contacts, and company information in all documentation.
Follow-Up and Site Visits:
- Follow up on all outstanding quotes within 48 hours of sending
- Conduct site visits as needed to fully understand project requirements and scope of work
Customer Relationship Development:
- Cultivate and nurture relationships with customers to foster trust and satisfaction
Coordination and Communication:
- Maintain constant communication with department heads and employees to manage job scheduling to ensure seamless coordination of operations
- Provide direct support and assistance with customers, management, and field workers as needed
Inventory and Logistics Management:
- Coordinate with Inventory and Logistics teams regarding equipment availability, necessary purchases, and special equipment requirements for each job
Field Ticket Approval and Invoicing:
- Approve and invoice field tickets daily for all service work
- Ensure same-day billing for efficient financial processing
JOB QUALIFICATIONS:
Experience:
- Minimum of 2 years of experience in sales or estimating roles, preferably in the crane and rigging industry or a related field
Communication Skills:
- Exceptional verbal and written communication skills
- Proficiency in conveying technical information clearly and concisely
Technical Proficiency:
- Familiarity with CRM software, particularly CenPoint or similar systems, for managing customer data and generating quotes
- Comfortable with technology and electronic communication tools
Organizational Skills:
- Strong attention to detail in managing customer information, documentation, quote preparation, and scheduling jobs
- Ability to prioritize tasks effectively and meet deadlines
Customer Focus:
- Demonstrated commitment to providing excellent customer service
- Ability to build and maintain positive relationships with customers
Problem-Solving Ability:
- Resourceful problem solver with the ability to adapt to changing project requirements and weather conditions
- Capacity to identify potential issues and proactively address and problem solve them
Team Collaboration:
- Experience collaborating with customers, employees, and management to ensure smooth project execution
- Ability to provide support and assistance to colleagues as needed
Field Experience:
- Willingness to conduct site visits as necessary to understand project scope and requirements
- Familiarity with crane and rigging equipment and operations
Sales Skills:
- Proven ability to develop and maintain customer relationships
- Strong negotiation skills and the ability to close sales effectively
Financial:
- Understanding of invoicing processes and the ability to ensure same-day billing
- Familiarity with financial documentation such as W9s, Certificates of Insurance, and Tax Exemption Certificates
Education:
- Experience in Administration, Sales, Billing, or a related field is preferred, but not required
JOB SHIFT AND SCHEDULE:
- This is a full-time position in Sioux Falls, SD
- Typical working hours between 7:00 am to 5:00 pm
- Reports to Director of Crane and Rigging Operations
