Our Porsche Westlake dealership in Thousand Oaks is seeking a Sales Operations Administrator - Entry Level. This is a great opportunity to take your automotive career to the next level. In this position, you will contribute to the success of Rusnak Group by providing administrative support to the General Manager, as well as the GSM and dealership management, compiling and maintaining records of business transactions and office activities; managing client interactions in an efficient, professional and timely manner, while upholding the highest levels of professional integrity and achieving individual proficiency goals established by management to support strategic plan objectives.

Responsibilities
Effectively and Efficiently Provide Key Administrative Services to Store Management and Office- Supports sales operation by greeting customers in a welcoming manner and assisting them in locating the appropriate sales personnel. Alerts Sales Management as needed if the salesperson cannot be immediately found.
- Promptly and professionally communicates with Clients to promote excellent Client relations and ensure the highest levels of Client satisfaction.
- Handles client concerns/complaints and refers to appropriate dealership employee as necessary for prompt and effective resolution.
- Efficiently maintains new car inventory utilizing CDK Vehicle, vAuto and Keeper Systems.
- Completes dealer trade forms accurately and thoroughly.
- Efficiently stocks in new car inventory, updates the Sales Department invoice book accordingly, and programs key fobs and creates bar coded inventory tags.
- Monitors the dealership website to ensure the inventory is up to date by verifying the accuracy of description and pricing of new cars as well as web description of installed options based on current information provided by the manufacturer. Works with vAuto to correct any discrepancies in a timely manner.
- Creates and reconciles fuel purchase orders using the Gasoline Approval System.
- Generates reports for management as directed (NPS, vehicle campaigns, etc.).
- Maintains eLeads CRM customer data. Modifies status for customers who no longer own the vehicle, moved out of the area, or desire to be opted out of further communication.
- Maintains processes and procedures manual for key duties above.
- Follows established policies and procedures relevant to the assigned responsibilities as needed by management.
Effectively and Efficiently Ensures Sales and Service reception Coverage.
- Assists management in supervising all receptionist services and coverage of reception desk as needed.
- Learns and maintains active working knowledge of staff scheduling needs.
- Serves as backup for assisting clients when needed.
- Answers telephone and takes messages for General Manager and other senior Management staff
