Who You Are
The Sales Operations Associate is responsible for ensuring excellent customer service and optimizing order fulfillment, to maximize revenue of the Wholesale channel. This role covers all Wholesale, Hospitality, Corporate Gifting, and Decorators accounts in US & Canada. This position reports to the Supply Chain Manager and works closely with the US Wholesale team, and the Customer Service teams in France.
What You'll Do
RESPONSIBILITIES
1. Timely Customer Communication via email or phone
2. Sales Administration
- Create new accounts in D365 and maintain existing ones with current contact, addresses, phone numbers, emails, etc.
- Enter all customer sales orders in D365; provide confirmation & tracking to the clients.
- Support Ex-Works orders by creating commercial documentation.
- EDI sales order administration & release for shipment: activate allocations, ship dates, cancel dates and extensions.
- First point of contact to resolve customer issues. Work with Wholesale commercial team and supply chain team to obtain resolution and communicate to client.
- Enter orders for marketing samples.
- Timely processing of all return authorizations for both damages and defects, entering replacement orders, and reporting quality defects in the dedicated portal.
3. Seamless Communication within Team
- Communicate pick-up details for all Wholesale, Hospitality, Biz Gift and Decorator for Ex-works orders to France team.
- Alert Supply Chain team when delivery exception occurs, and keep client informed of the resolution.
- Follow instructions from Finance team to block or release orders when clients are in credit hold.
- Follow process defined by Head of B2B regarding the use of shared mailboxes and
- Teams’ folders. Ensure the accessibility of all working documents to colleagues during time away from the office.
4. Portfolio management optimization
- Collaborate with SCM/Sales/Finance to make weekly allocation plan and highlight clients or orders where specific attention is required to allocate and release.
- Sales orders scheduling according to the commercial terms and confirmed lead-time communicated by planning/SC team in France (for special orders as special affairs, gilding, engraving, repair etc.)
- Portfolio rescheduling of open orders, at the beginning of each month for orders with a requested date in the past & not released due to credit issues or customer requests.
- Under direction from Wholesale Director and management, execute portfolio allocation exceptions and release orders accordingly.

KEY COMPETENCIES:
- Excellent communication skills with colleagues and clients, outstanding professionalism, and timeliness.
- Well-organized and responsible with an aptitude in problem-solving.
- Lean spirit to provide insights on what needs optimization, process oriented.
- Luxury wholesale environment & customer service experience.
- Knowledge of logistics & warehouse operations, ERP systems, logistics processes and export procedures.
- Able to multi-task and work cross-functionally.
- Quantitative and qualitative data analyses.
- Data applications (Microsoft Office, D365, Power BI & Jet reporting).
SKILLS AND EXPERIENCE
- Bachelor’s degree or equivalent preferred
- Keep positive and team-oriented attitude
- Result-oriented and respectful of deadlines
- Good personality and quick learning
- Good Microsoft Office skill, Excel, and Word 1234
- 3-5 years' relevant experience in sales operations
- Experience of D365 is a plus
- Work efficiently, proactive

Base salary range: $60K – 70K (based on the experience).
