SALES TAX AND COMPLIANCE SPECIALIST (PART TIME) - Reports to the Controller
The Sales Tax and Compliance Specialist is a member of the Finance & Accounting Team and reports to the Controller. The primary responsibilities are to ensure compliance with contractual requirements including preparing and remitting sales tax returns, updating the ERP system for tax jurisdictional and customer changes, and contractual compliance issues. Accuracy, time management, multi-tasking and strong computer skills are required. An integral part of this position is interfacing with other members of the Sales and Finance teams to ensure timely and accurate completion of the required data.
This position is responsible for (but not limited to) the following:
- Processing sales tax returns.
- Balancing the spreadsheet given by the System Analyst on a monthly, quarterly, and annual basis.
- Input the related dollar values into the appropriate state or local website.
- Calculate the remittance value and update control documents.
- Submit for payment and print off confirmation of payment pages.
- Update ERP system for sales/use tax rate changes.
- Monitor and implement rate change notifications.
- Use the jurisdiction’s websites to validate rate changes.
- Coordinate changes and updates with Billing and Systems personnel for consistency.
- Review contractual agreements to ensure compliance.
- Ensure the ERP system is coded and documented correctly for sales/use taxes or exemptions.
- Ensure contractual start and stop dates are tracked within the ERP system or Compliance database.
- Ensure special billing instructions are noted in the appropriate fields.
- Request and review insurance certs for both subcontractors and customers.
- Back-up processing of customer credit cards and check deposits.
- Assist in balancing and reconciliation of customer reports and aging schedules.
- Assist in the balancing of subsystems back to the ERP system.
Key tools and competencies needed to accomplish job responsibilities:
- Experience with various software programs, on-line portal entry, and both strong excel and reconciliation skills are required for this position.
- Strong written and verbal skills and a professional attitude are necessary for corresponding with employees, customers, vendors, and taxing authorities.
- Must have strong communication skills and proven ability to work in a team environment .
- This position will require a minimum of 3 to 5 years’ experience with ERP systems and sales/use tax regulations
- Must be flexible as to other job duties as assigned, as this is an overall compliance support position for the corporate office.
- Must be somewhat flexible with days and hours as volumes and deadlines may dictate the overall hours needed on a weekly basis.
Key Performance Indicators (KPI’s) – Accountability Measures:
- Ensure the excel work sheets for the sales tax are balanced and updated monthly no later than the 17th of each month so remittances can be appropriately funded.
- Document any discrepancies on the sales tax worksheets for the Controller so changes to the ERP system can be authorized.
- Ensure all known changes in rates by jurisdiction are tracked and implemented on a timely basis, based on the effective dates of change.
- Ensure contractual compliance reviews and notations are completed on a timely basis, generally within 3 business days of receipt.
- Maintenance of the compliance calendar/database on a continual basis to ensure all deadlines are being advised and met.
