Job Description:
A private family in San Diego, CA seeks a positive, proactive, and highly organized Family Assistant to support in managing the day-to-day operations of the home and assist in all administrative, organization, and logistical duties as it relates to the family and home. The ideal candidate is a self-starter who takes initiative in their work. The core components of this role will be transporting children to and from school and activities, running family errands, sourcing items, personal shopping, calendar management and scheduling appointments, coordinating children’s activities, basic vehicle maintenance and vendor management, pet care for a small dog and bearded dragon, assist in household duties and chef coordination as needed, and caring for and attending to the family and children’s daily needs. This candidate is also responsible for driving principal to appointments, meetings, etc. and assisting principal as needed on administrative and household tasks. In addition, this candidate will work with the utmost discretion, be reliable, proactive, and team oriented. This individual should demonstrate good judgment and emotional intelligence while contributing to the congenial atmosphere of the home. This full-time position consists of a Monday – Friday schedule, roughly 9:30am to 6pm, with overriding flexibility for occasional long hours, weekends, overnights, and holidays. Rotating Christmas and Thanksgiving holiday off (i.e., one year Thanksgiving you would have off and work Christmas and the next year Christmas you would have off and work Thanksgiving). The ability to travel to Hawaii for several weeks at a time during the summer months is REQUIRED and the willingness to travel to other domestic and international locations with the family is a strong PLUS. During travel periods flexibility to work longer hours is required as there are increased opportunities for overtime pay. Working with the highest level of discretion and confidentiality is a MUST.
Responsibilities include, but are not limited to:
- Assist with a wide variety of Family Assistant duties including coordinating activities, scheduling appointments, and driving/accompanying the children and/or parents to and from all engagements
- Oversee and manage the family calendar and all appointments, meetings, events, etc.
- Assist with special projects and events as needed
- Track deliveries, purchases, prescriptions, and any other items needing to be picked up or delivered
- Manage correspondence including school forms, activity sign ups, medical forms, etc.
- Manage basic vehicle maintenance
- Oversee vendors and household maintenance
- Assist housekeeping staff as needed to ensure a tidy and efficient home
- Coordinate with chef as requested
- Organize household and supplies, inventory and procurement as requested
- Assist with pet care as needed and requested
- Assist with packing and unpacking for trips and vacations
- Travel with the family domestically and internationally as needed
- Additional Family Assistant responsibilities as needed and requested by the principals and team
Requirements:
- Fluent in English; exceptional communication skills, both written and verbal
- Excellent references required from both current and previous employers
- Highest levels of diplomacy, confidentiality, and discretion are always required
- Minimum 3 - 5 + years related experience working in a similar role with a private family
- Poised and professional at all times
- Ability to exercise good judgment and possess a high EQ
- Superior organization skills applied to all aspects of the job and a willingness to go above and beyond
- Ability to work both independently and as a part of a team
- Comfortable with feedback and a “no task it too big or too small” mentality
- Must be able to adapt to the changing needs of the family and adhere to guidelines set by principals and senior staff
- Tech savvy and able to use/learn smart home technology, calendar management tools including Google Suite, Microsoft Office, and all Apple products and programs
- Flexibility in scheduling for longer hours, weekends, and occasional overnights is REQUIRED
- COVID vaccinated is REQUIRED, willing to follow COVID-protection protocol set by the family
- Valid Passport is preferred: willing and able to travel extensively with the family, both domestically and internationally as needed and for extended periods of time
- Valid Driver’s License REQUIRED; confident driver with zero points on record (must be comfortable with A LOT of driving around each day)
