Join the team behind the historic National Western Stock Show – the nation’s premier livestock, rodeo, and horse show! We are looking for an organized, detail-oriented, and energetic individual to support our Trade Show Director in preparation for the upcoming 2025 Stock Show.
PLEASE NOTE: This is a seasonal position with an anticipated start date of November 21, 2024. This individual will be expected to work part-time/as-needed in the month of December, and will likely be required to be on-site every day January 5th-January 27th, 2025 for up to 12 hours per day.
Overview
As the Trade Show Assistant, you will assist the Trade Show Director with the many moving parts that go into making our trade show a success. Your role will be crucial in ensuring the show vendors have everything they need leading up to and during the National Western Stock Show. Responsibilities include preparing and processing exhibit space contracts, creating show service orders, putting together move-in packets, and supporting the space sales process. You will also help maintain clear and timely communication with vendors and assist with administrative tasks as needed.
The ideal candidate is a proactive, flexible, and hardworking individual who thrives in a dynamic, fast-paced environment. This individual will have strong communication skills, excellent attention to detail, and the ability to juggle multiple priorities. Experience with trade shows or events is a bonus, but we are open to training the right person who is eager to learn and contribute.
Reports to: Trade Show Director
Duties & Responsibilities
- Assist with preparing, organizing, and tracking exhibit space contracts.
- Create and distribute show service orders and vendor move-in packets.
- Support the processing and fulfillment of space sales, ensuring all paperwork and payments are accurate and up-to-date.
- Provide logistical support during Stock Show, including setup, move-in, and move-out coordination.
- Assist with vendor communications, responding to inquiries and providing exceptional customer services.
- Handle additional administrative tasks as assigned to ensure smooth event operations.

Desired Experience, Skills, & Abilities
- Strong organizational and time management skills.
- Ability to handle multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and accounting systems. Has the ability to learn new software as needed.
- Customer service experience preferred.
- Prior experience in trade shows, events, or administrative roles is a plus but not required.
Working Conditions
The National Western Complex is a multi-purpose indoor and outdoor commercial and agricultural complex where dusty conditions and animals may exist. While performing the duties of this job, work is performed both indoors and outside in all weather conditions, including extreme cold, snow, wind, and rain, on varied surfaces. Candidates should be comfortable working in a fast-paced, high-energy environment with large crowds.
Compensation & Benefits
- This is a seasonal, hourly position with a pay rate of $18.81/hour.
- Paid sick time offered at the rate of 1 hour for every 30 hours worked.
