About the Job
The ideal candidate will contribute toward the duties and tasks of the Field Service Manager and Technicians in order to ensure that the organization has exceptional internal phone support and scheduling practices resulting in the successful installation and thorough training of Company equipment and its customers, while also supporting the planning and scheduling of other internal and external collaborations.
REQUIREMENTS
•Proactive engagement with ongoing projects of Shakopee, MN office
•Self-starter experience in office settings/phones/interaction with customers
•Excellent writing skills
•Scheduling and planning experience
•High proficiency in the English language
•Structured and organized and able to multitask
•Reliability and conscientiousness
•Time management and planning skills
•High proficiency in Microsoft Office
PREFERRED SKILLS
•Mechanical/electrical background
•SAP experience
•Salesforce experience
TASKS & FUNCTIONS OF THE SERVICE COORDINATOR
1. Provide comprehensive and diligent phone support:
•Guaranteeing every incoming customer call is answered the first time in a polite, courteous and timely manner
•Demonstrate positive company image and brand awareness in every conversation
•Ensure that every customer is given the support that they need, and that accurate records are made of every incoming and outgoing support transaction, no matter how minor
2. Manage internal and external scheduling processes:
•Provide proactive, relative scheduling support; awareness of schedule status and pending items at all times. Ensure that management and field technicians are informed and aware of scheduling updates and changes at all times.
•Coordinate and host events in conjunction with U.S. commercial operations team at the Shakopee facility
3. Administrative Duties:
•Organize and schedule meetings and appointments
•Maintain contact lists and record keeping
•Produce and distribute correspondence memos, letters, faxes, and forms
•Assist in the preparation of regularly scheduled reports
•Book and coordinate travel arrangements
4. Uphold and operate in accordance with Company policies, External and Internal Communications as Key Service Identity
5. Support the work of the Field Technical Relations
6. Interaction and communication with both customer service and sales to coordinate and incorporate workbook information, parts orders etc. into the Salesforce tool expectations of the U.S. Domestic Service Coordinator
SHIFT
•M-F current hybrid schedule is in-office Tuesday and Thursday from 8-12:30 and the rest of the week from home.
