About the Job
The Senior Administrative Assistant is part of the Corporate department, which resides on the Administrative team and reports to the Manager of Administrative Services & Board Relations. The Senior Administrative Assistant will partner with other cybersecurity team members to promote the CIS mission and help continue our growth. The primary purpose of this position is to provide support to executive level staff and staff members for the assigned program area(s). The ideal candidate will be creative, flexible, and enjoy working within a dynamic, fast growing, and mission-focused non-profit organization. This role will have the ability to work independently and exercise good judgment in a variety of situations and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Moreover, the individual must have strong written and verbal communication, administrative, and organizational skills.
Work can generally be performed remotely, however on-site support at our headquarters in East Greenbush, NY will be required at times to assist with various team needs.

- Provide administrative support services to the Senior Leadership Team, Executive Team, and respective program area(s) and staff
- Completes a broad variety of administrative tasks including:
- Managing an active calendar of appointments
- Completing expense reports
- Composing and preparing correspondence that is sometimes confidential
- Arranging complex and detailed travel plans, itineraries, and agendas
- Coordinating in-person/remote meetings and events
- Monitor incoming calls and emails, forwarding to appropriate parties
- Coordinate office supply orders for the respective program area(s) and staff
- Organize and prioritize large volumes of information
- Assist with preparation and proofreading of presentations, reports, memos, letters, and other documents in conformance with company style guidelines
- Work independently and within a team environment on special nonrecurring and ongoing projects
- Handle sensitive information in an appropriate and professional manner
- Other tasks and responsibilities as assigned
- Bachelor's degree in a Business discipline*
- 7+ years of professional experience in an administrative role supporting senior level executives
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Demonstrated ability to deal with rapid changes in a high-paced environment
- Team player with the ability to also work independently
- Proven ability to handle confidential information with discretion
- Demonstrated ability to achieve performance goals and meet deadlines in a fast-paced environment
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), and Adobe Acrobat
It's a Plus if You Have:
- Administrative, Personal Assistant, or Secretarial certifications i.e., CAP
*Additional years of relevant experience or a combination of an Associate’s degree or equivalent and relevant experience may be substituted for the Bachelor’s degree.
