Position Summary:Under the direction of the leader of the Grants and Contracts Office, this position will manage post-award activities for Versiti investigators using knowledge of grant management rules and regulations (including Uniform Guidance), financial budget management, technical expertise, and analytical skills. This position will act as a trusted partner with investigators to coordinate the post-award process, including: facilitation of award process from pre-award to post-award; understanding and tracking of award requirements and deliverables to ensure post-award and financial compliance. The incumbent will analyze project expenditures to ensure costs are allowable, reasonable and consistently handled per Versiti policies and sponsors requirements. Work in partnership with Finance/Accounting to set up and fiscally manage awards. Successfully manage subrecipient agreements and contracts and project extensions as needed. Track progress and drive to meet deadlines for assigned awards. Perform data entry in appropriate administrative systems (i.e. Oracle Fusion, Cayuse Grants, etc.). Manage timely closeout of awards, including scientific and financial reports, and provide reports as needed to Versiti management, sponsors, and for internal and external audits. Responsible for providing guidance to investigators regarding compliance related to federal and non-federal grant administration. This includes compliance with internal policies and procedures, OMB and other government rules and regulations, and sponsor terms and conditions. This position requires collaboration with internal and external stakeholders, including project sponsors which may be federal, state, municipal, or private organizations.
Responsibilities:- Fund set-ups: Coordinate and compel receipt of award documentation, maintain relevant administrative systems (e.g. Cayuse Grants). Manage and facilitate set-up and execution of contracts and subrecipient agreements, monitor invoicing and compliance. Interpret sponsor, federal, and state rules and regulations. Work collaboratively with Finance/Accounting to ensure appropriate fund account setup/management of financial accounts. Transition funded grants and contracts from pre- to post-award in an organized and collaborative process, working with investigators, Finance/Accounting, collaborating institutions, and sponsors.
- Contract negotiation: Facilitate the negotiation of industry-sponsored clinical trials and other fee-for-service agreements, as well as their associated budgets and other administrative documents.
- Fund analysis: Perform analysis review of expenditures for adherence to Versiti and sponsor requirements. Provide analysis and financial forecasting to PIs, based on data from the Finance team. In conjunction with Finance/Accounting, analyze project expenditures to ensure costs are allowable, allocable, reasonable and consistently handled per Versiti policy and sponsoring agency requirements. Work collaboratively with investigators to ensure spend rates do not exceed reasonable limits, and provide forecasting guidance to facilitate strategic decisions about personnel allocations, etc. Consult with Finance/Accounting to reconcile project expenses against Versiti’s financial systems and forecast budget balances. Coordinate with investigators and their research teams to monitor sponsored project purchasing activities.
- Subject Matter Expert: Serve as a subject matter expert on grant and contract financial management for investigators and act as liaison to Finance/Accounting and other relevant staff.
- Inform investigators of changes in sponsor policies and regulations; coordinate and ensure compliance with changes.
- Provide guidance, support and assistance to investigators with award management to meet deadlines and close out award on time. Includes closeout of agreements and reconciliation of accounts at project end.
- Maintain accurate documentation of compliance requirements and any special award terms and conditions.
- Coordinate and submit key post-award reports such as FFATA reporting, RPPRs and FRPPRs, etc. Prepare budgets, manage requests for no-cost extensions, progress reports, budget changes, prior approvals, and grant close-outs.
- Maintain a working knowledge of laws, regulations, and policies that affect research grant administration and compliance.
- Maintain a positive research environment and infrastructure as needed, revise existing and establish new post-award related processes, and Standards of Practice documentation, in partnership with all internal stakeholders (e.g. investigators, Finance/Accounting, executive leadership, etc.).
- Perform other related duties (pre-award related activities) and participate in special projects as assigned.

Education
- Bachelor's Degree required
- Advanced degree preferred
Experience
- 4-6 years experience in research administration. required
- 4-6 years experience in post-award activities (i.e. no-cost extensions, preparation of required reports to funding agencies, budget revisions, NIH RPPR, closeouts, publications compliance and other activities.). required
- 4-6 years experience in a research or higher education environment. required
Knowledge, Skills and Abilities
- Exceptional verbal and written communications skills with the demonstrated ability to interface with all levels of management both internal and external to the organization required
- Demonstrated strong organizational skills with attention to detail and accuracy, and analytical and problem-solving skills required
- Demonstrated experience with post-award activities including financial reporting, in a grants and contracts administration or research management setting. Experience with post-award systems such as NIH eRA Commons, ProposalCentral and other federal and non-federal sponsor systems is preferred required
- Demonstrated ability to lead design and implementation of post-award tools, policies, and procedures required
- Comfort with business systems that hold financial and administrative information, such as Oracle required
- Ability to develop new systems or procedures to resolve problems and facilitate workflow required
- Discretion in dealing with sensitive and confidential information required
- Strong customer service orientation required

- Certified Research Administrator (CRA) or Master of Research Administration (MRA) preferred
